Job Description: Rental Manager

The Management and continuous improvement of the Rental Department, ensuring all activities are executed in the safest and most effective manner to deliver high customer satisfaction and maximum commercial benefit for both Crown and its customers.

As Rental Manager, you will lead a team to:

  • Manage short-term rental fleet administration, including rental agreements, invoicing, and credit notes.
  • Liaise with customer and sales enquiries, process orders, and maintain fleet status.
  • Work with the Regional Service Manager to ensure trucks are prepared for transport, collaborating with Service and Parts departments.

Key Responsibilities (including but not limited to)

  • Contract administration:
    • Raise contracts, obtain signed agreements before equipment delivery, and issue invoices timely.

  • Enquiry and customer support:

    • Log and proactively monitor all rental enquiries.
    • Manage customer queries regarding invoices, active and terminated agreements.
    • Handle sales and customer leads with a response time of within 2 hours.
  • Equipment management:

    • Accurately select equipment and request workshop jobs to meet arrival deadlines.
    • Oversee equipment inspection of returned assets on time and ensure damage estimates are processed efficiently.
    • ** Terminate short-term/rolling contracts** promptly for future rentals while managing asset tracking (identification, location, status).
  • Transport coordination:

    • Manage regional transport by raising timely and accurate delivery/collection notes.
  • Budgeting and forecasting:

    • Forecast rental details on a rolling 3-month basis.
    • Contribute to the annual budget and end-of-year stock audits.
  • Commercial agreements:

    • Agree rental rates with sales, communicating directly with customers.
  • Regulatory compliance:

    • Ensure all rented assets comply with LOLER and PUWER regulations.
  • Administrative oversight:

    • Manage customer documentation, sales team updates, assist in process refinements, and compile weekly reports (new, used, and rental equipment).

Person Specification

Essential Skills

  • Strong administrative, organisational, and customer service skills.
  • Proficiency in Microsoft Office, including intermediate Excel (pivot tables, large data manipulation) and Outlook.
  • Excellent telephone manner, with ability to handle customer queries and liaise with Sales teams.
  • Proven experience in transportation, rental, and logistics is mandatory.
  • Ability to build relationships with:
    • Internal stakeholders: Regional Service Managers, Sales, Service, and Finance teams.
    • External customers.
  • Knowledge of LOLER regulations.

Desirable Skills

  • Experience with Baan or SAP systems.
  • Engineering background or forklift truck knowledge is advantageous.

Vacancy Details

Working Hours

  • Monday–Thursday: 08:00 AM – 4:30 PM (1-hour unpaid lunch break).
  • Friday: 08:00 AM – 4:00 PM (1-hour unpaid lunch break*).

Salary

  • Negotiable, dependent on experience.

Holidays

  • 25 days annual leave (in addition to bank holidays).
