About The Role
Job Description
Position: Reservations Agent Department: Front Office Reports to: Sales & Events Manager & General Manager
Responsibilities
General Duties
- Receive and manage incoming reservations from:
- Leisure guests
- Corporate clients
- Tour operators
- Sporting groups
- Conference bookings
- Respond professionally to email inquiries and bookings
- Process online reservations through our booking engine
- Ensure accurate data entry in the Property Management System (PMS)
- Maintain up-to-date booking records, confirm reservations, and track group follow-ups
- Allocate bedrooms while maintaining correct room rates
- Update Online Travel Agencies (OTAs) and monitor rate parity
- Collaborate closely with the reservations team and front desk team

Customer Relations
- Develop strong relationships with clients, anticipating their needs to secure repeat bookings
- Work closely with housekeeping, sales, and other departments to meet guest expectations
- Build positive working relationships with all clients to maximise customer retention
Operations & Service
- Coordinate all sales inquiries and escalate requests to relevant departments
- Facilitate seamless communication between Reception, Housekeeping, and all operational teams
- Maintain and update the hotel’s accommodation database
- Support other hotel departments as required, including flexible schedules/duties
- Adhere to all company policies, including Health and Safety guidelines

Required Criteria
- At least 12 months’ experience in a similar role within the hospitality industry
Desired Criteria
- Strong familiarity with PMS systems
- Proficiency in customer service communication
