Reservations & Space Coordinator

Reservations and Space Coordinator – Rapport

About the Role

We are seeking a Reservations and Space Coordinator to join our dynamic team at Rapport. This role is responsible for:

  • Managing the EMS booking system, including creating and maintaining resources, locations, and booking configurations
  • Providing system support, troubleshooting, and ensuring smooth scheduling of reservations
  • Managing reservations for managed spaces as part of the reservations team

Our client is an American global media, marketing and corporate communications holding company.

Contract Details

  • Position: Full-time, Permanent
  • Hours: 40 per week (Monday–Friday, shift rota 7:30 AM–6 PM)
  • Salary: £36,603 per annum

Main Responsibilities

  • Act as the primary UK contact for EMS projects under the Guest Services Manager or Director of Space Management, overseeing resource configuration and location setups.
  • Manage EMS Service Now tickets, responding swiftly to queries and escalating issues to onsite teams.
  • Generate monthly performance reports and monitor key metrics in EMS specifications.
  • Control end-to-end reservation processes, including booking requests and ensuring conflict-free scheduling for meetings and events.
  • Resolve meeting space-related issues efficiently, utilising site and agency knowledge to provide premium support.

Required Skills & Critical Criteria

  • Proven experience in booking systems, facilities management, or administrative support with strong scheduling and resource oversight.
  • Capacity to administer and configure system data (resources, locations, permissions) while upholding data accuracy.
  • Exceptional coordination skills, including booking conflict resolution and communication with stakeholders.
  • Exceptional communication in seek and grooming stakeholder requirements while providing timely updates.
  • Ability to organise high-volume operations with precision and handle multiple administrative priorities efficiently.
