Restaurant Reservations Agent – Waldorf Astoria London – Admiralty Arch

About the Role

Waldorf Astoria London – Admiralty Arch is seeking a Restaurant Reservations Agent to join the pre-opening team for its highly anticipated new luxury hotel set to open later this year.

This is a unique opportunity for an experienced luxury hotelier to join the founding team and help shape the guest experience at this iconic landmark.

Located at the end of The Mall, opposite Buckingham Palace, Waldorf Astoria London – Admiralty Arch will feature:

  • 100 elegant rooms and suites
  • 17,500 sqft of private residences
  • Two signature restaurants:
    • Coreus by Clare Smyth (Michelin-starred)
    • Café Boulud by Daniel Boulud (Michelin-starred)
  • A world-class spa
  • State-of-the-art fitness facilities
  • Grand event spaces, including a ballroom for 320 guests

Responsibilities

Here’s what you’ll do during a typical day:

As a Restaurant Reservations Agent, you will act as a key ambassador for the hotel’s dining and event experiences, serving as the primary point of contact for all reservations.

Key Responsibilities Include (But Are Not Limited To):

  • Accurately manage all restaurant reservations, private dining inquiries, and guest correspondence, including confirmations and billing details
  • Handle telephone, email, and written inquiries with polish, discretion, and efficiency, aligning with brand strategy and luxury service standards
  • Maintain expert knowledge of all hotel F&B outlets, menus, experiences, and local area to provide bespoke recommendations
  • Secure reservations, enforce policies, and apply cancelation/no-show charges appropriately to maintain guest satisfaction and revenue integrity
  • Conduct thorough pre-arrival and arrival quality checks to ensure seamless guest preferences and expectations
  • Respond to all guest and client communications with professionalism, warmth, and attention to detail
  • Deliver prompt, refined service while upholding luxury brand standards
  • Plan, coordinate, and execute small-scale events, including:
    • Private dinners
    • Lunches
    • Afternoon teas
    • Special dining experiences
  • Build meaningful guest relationships through interaction and anticipation, fostering loyalty and repeat business
  • Proactively upsell opportunities to enhance guest experiences and drive incremental revenue
  • Ensure BEOs and group function sheets are accurately prepared and handed over weekly to F&B and Front Office teams
  • Conduct site visits, show rounds, pre-event meetings, and post-event reviews as required

What We’re Looking For

You must be guest-centric, detail-driven, and aligned with ultra-luxury service values. Successful candidates will demonstrate:

  • A passion for delivering exceptional, personalized guest service
  • Polished, confident telephone and communication skills (verbal & written)
  • Exceptional organizational and administrative proficiency
  • Strong attention to detail
  • Intermediate computer skills and comfort working across multiple systems

Advantageous Experience:

  • Previous experience in reservations, food & beverage, or luxury hospitality
  • Further/higher education qualifications in hospitality, events, or a related discipline
