We're looking for an RFP Administrator to join our Commercial team and play a vital role in managing our corporate Request for Proposal (RFP) process. Supporting over 1,500 corporate customers and approximately £30 million in room revenue, this role is perfect for someone who thrives on organisation, accuracy, and building strong relationships across the business.

What You'll Be Doing

As RFP Administrator, you'll coordinate the end-to-end administration of our corporate RFP process, ensuring proposals are managed efficiently, rates are accurately loaded and distributed, and our commercial systems remain accurate and up to date.

Working closely with Sales, Revenue, and hotel teams, you'll help deliver an outstanding experience for our corporate clients while supporting revenue growth across the business.

RFP Administration

  • Manage the day-to-day administration of the corporate RFP process across the group
  • Monitor and respond to enquiries received through the RFP inbox and third-party RFP platforms
  • Support the administration of corporate and consortia RFPs using Salesforce (SFDC) as the primary tracking and workflow tool
  • Build RFPs, configure rate plans, and administer user access within Cvent (Lanyon)
  • Ensure all RFP submissions are completed accurately and within agreed deadlines

Rate Loading & Data Management

  • Load accepted corporate rates into Opera and iHotelier with a strong focus on accuracy and timeliness
  • Distribute rates across relevant systems and channels
  • Conduct regular audits across Salesforce, Opera, iHotelier, and RFP platforms to maintain data integrity
  • Identify data inconsistencies and proactively resolve issues to improve system accuracy

Commercial Support

  • Provide administrative support to both Central Sales and Hotel Sales teams
  • Support reporting development and system implementation projects
  • Assist with commercial projects across the wider business as required
  • Work collaboratively with internal stakeholders to improve processes and ways of working
  • Act as a key point of contact between Central Support and hotel teams, providing guidance and support throughout the RFP process

Continuous Improvement

  • Challenge inefficient processes and identify opportunities to improve data quality and operational effectiveness
  • Support the ongoing development of commercial systems and reporting
  • Act as a positive ambassador for Clermont Hotel Group, building strong relationships with colleagues and external partners

What You’ll Bring

We're looking for someone who enjoys working with data and systems but also understands the importance of collaboration, communication, and delivering excellent service.

Essential

  • Strong organisational skills with exceptional attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Excellent analytical and problem-solving skills
  • Confident using Microsoft Excel, Word, and PowerPoint
  • Strong communication skills with the ability to build positive relationships across the business
  • Self-motivated with the ability to work independently
  • Efficient, methodical, and highly organised
  • Curious and proactive with a continuous improvement mindset
  • Commercially aware and solutions-focused
  • Positive, collaborative, and adaptable
  • Resilient when managing multiple stakeholders and competing priorities

Desirable

  • Previous experience within a commercial support, sales administration, or revenue administration role
  • Experience using Salesforce (SFDC)
  • Knowledge of Opera PMS and iHotelier
  • Experience using RFP platforms such as Cvent (Lanyon)
  • Previous hospitality experience
