RMA COORDINATOR

Technical Support Team | Basingstoke, Hampshire | Full Time

We are looking for a driven and organised individual to join our Technical Support team as an RMA Coordinator. Prior experience in this type of role is welcome but by no means essential; we are equally happy to hear from recent college or university graduates who are ready to build a career within a specialist, market-leading business. What matters most is the right attitude and a genuine willingness to learn.

From our Basingstoke headquarters, we supply and support residential and commercial integrators across the country, representing 60+ world-class brands spanning premium audio, video, projection, networking, smart control, lighting, and much more. We are more than a distributor; we provide technical support, system design guidance, professional training, and hands-on aftercare, making us a true long-term partner to every dealer we work with.

THE ROLE

As RMA Coordinator, you will manage the end-to-end returns and warranty process across our product portfolio. Working closely with our Technical Support team, suppliers, and dealer network, you will ensure every return, repair, or replacement case is handled with accuracy, efficiency, and professionalism.

Full training will be provided from day one. We are looking for someone who is methodical, communicates well, and takes real ownership of their work.

KEY RESPONSIBILITIES

  • Manage RMA Process: Oversee the end-to-end RMA process, from receiving returns to processing claims and coordinating repairs or replacements.
  • Customer Communication: Serve as the primary point of contact for customers regarding RMA enquiries, providing timely updates and resolving issues efficiently.
  • Documentation and Tracking: Maintain accurate records of RMA requests, actions taken, and outcomes. Ensure all documentation is complete and up-to-date in the RMA system.
  • Liaison with Technical Support: Work closely with the technical support team to diagnose issues, ensure proper documentation, and facilitate the repair or replacement process.
  • Quality Control: Conduct quality checks on returned products to determine the cause of failure and ensure compliance with warranty terms and conditions.
  • Supplier Coordination: Coordinate with suppliers for the return, repair, or replacement of products, ensuring timely and cost-effective solutions.
  • Process Improvement: Identify opportunities to enhance the RMA process, streamline operations, and improve customer satisfaction.

WHAT WE'RE LOOKING FOR

  • Strong organisational skills and the ability to manage multiple open cases simultaneously
  • Clear, confident communication - written and verbal
  • A methodical, detail-oriented approach; accuracy matters in this role
  • Self-sufficient and able to take initiative without needing to be directed at every step
  • A natural problem solver who can think logically and work through challenges calmly
  • A positive, can-do attitude and genuine willingness to learn
  • Reliability and punctuality - our dealer network depends on us to be consistent
  • Basic proficiency in Microsoft Office Suite
  • Any interest in AV technology, networking, or home automation is a bonus - everything will be taught
