RTT Validation Specialist – Urology Team
About the Role
University Hospital Southampton NHS Foundation Trust is offering an exciting opportunity to join the Urology team within Surgery. This role focuses on ensuring Referral to Treatment (RTT) pathways across 18-week timelines are accurately validated, compliant with national standards, and improve operational efficiency.
Main Duties
As part of the RTT Validation Team, you will:
- Validate patient journeys using specialist knowledge of 18-week RTT pathways to ensure full compliance with national RTT rules and UHS access policies.
- Identify, investigate, and rectify data quality issues, implementing corrective actions aligned with national and local guidance.
- Review and update RTT data across UHS systems (e.g., Patient Administration System - PAS), ensuring pathways reflect accurate patient status.
- Apply complex RTT guidance to support statutory reporting, waiting list management, and operational performance optimisation.
- Act as an RTT champion by providing:
- Expert advice
- Training and mentoring support
- Consistency and quality assurance across clinical and administrative teams
- Drive continuous improvement by:
- Reporting recurrent issues
- Recommendations for process enhancements
- Collaborating with teams to strengthen RTT compliance
General Responsibilities
- ** Validate patient pathways** strictly following Referral to Treatment (RTT) rules and National RTT guidelines.
- Assess, analyse, and correct data in the patient information system (PAS) to ensure accuracy across the patient journey.
- Resolve pathway errors to prevent 18-week breaches by liaising with clinical and administrative staff.
- Train and mentor colleagues, one-to-one or in groups, to improve RTT system comprehension and workflow.
- Validate and audit "open pathways" closely with clinical staff, management, and validation teams.
- Pro-actively escalate breaches and issues according to department escalation protocols.
- Maintain audit trails for validated pathways, ensuring clear comments and documentation.
- Plan and prioritise own workload with minimal supervision, balancing fluctuating demands and demonstrating initiative.
- Conduct internal audits and produce ad-hoc reports to improve RTT data accuracy.
- Support inducting and training new team members, ensuring workflow continuity.
- Review operational processes with the Outpatients Administration Centre, proposing efficiency improvements.
- Develop and revise Standard Operating Procedures (SOPs) to enhance departmental performance.

Person Specification
Essential Criteria
Qualifications & Experience
- GCSE (or equivalent) in English and Maths (grades 4-9, A-C equivalent)*
- A Level / NVQ Level 3 in Business Administration, Customer Care, or equivalent professional experience
- Experience in RTT validation processes across multiple specialities, with hands-on training and proven ability.
- A willingness to apply RTT expertise across diverse specialities
- Aimed proficiency in Trust-specific patient information systems (e.g., PAS)
- Efficient use of Level 3 Patient Pathway Work (PPW) tools and Trust IT systems Just-in-Time (JiT)
Administrative & Compliance Knowledge
- Experience in maintaining administrative systems (e.g., office workflow, information management)
- Ability to handle sensitive/confidential information securely under GDPR regulations.
Desirable Criteria
- Proven experience in training teams or individuals on national RTT standards
