Administrative Jobs Specialist – Safer Custody & Security Intelligence
Location: HM Prison Wayland, Thetford, IP25 6RL
About the Role
A specialist administrative position supporting the Safer Custody and Security Intelligence Departments at HM Prison Wayland.
The successful candidate will:
- Provide administrative support to help deliver an effective intelligence and information system focused on safer custody.
- Assist in risk mitigation, incident management, and trend analysis across self-harm, violence, isolation, and< ACCT (Assessing Care in Custody and Treatment) systems.
- Maintain and improve internal data and recording systems while ensuring all staff are adequately trained in their use.
Key Note: This is a rotational, non-operational role with no direct line management responsibilities.
Responsibilities
Safer Custody Intelligence & Support
- Analyse and evaluate intelligence from multiple sources to:
- Inform decision-making on risk reduction and prevention strategies.
- Provide additional IRS & Mercury system analysis when concerns are raised.
- Develop and disseminate a monthly Safer Custody Intelligence Report, covering:
- Self-harm, violence, self-isolation, ACCT management, and other estate-wide priorities.
- Train staff in information recording procedures (including IRS, MPCS, and safety protocol).
- Liaise internally with security teams and externally with law enforcement/agencies to share intelligence while adhering to national and local policies.
Key Operational Duties
- Update and maintain all relevant databases, recording systems, and manual files within deadlines.
- Monitor public health, security, and safer custody metrics to guide management decisions.
- Collate and distribute monthly Safer Custody objectives and collate Service Delivery Indicators (SDIs).
- Organise and prepare briefings for meetings (including Safer Custody and Security Forums).
- Coordinate internal communications, ensuring critical information is relayed accurately and reached the right personnel.
- Research, analyse, and categorise trends to facilitate anticipatory intervention for higher-risk scenarios.
- Act as the single point of contact for postholders and external stakeholders on safeguarding matters.

General Administrative Support
- Coordinate financial requisitions via the integrated finance database.
- Maintain manual filing systems and respond to audit/inspection requirements.
- Correspond with external bodies to ensure information sharing compliance.
- Schedule training sessions for new starters or refresher courses on safer custody themes.
Requirements
Knowledge & Abilities
- Proficient in Microsoft Office Word & Excel (experience in advanced data sorting and spreadsheet analysis preferred).
- Strong information analysis skills, including:
- Identifying patterns, inconsistencies, and actionable insights.
- Evaluating raw data against establishment priorities.
- Ability to interpret complex intelligence reports and tailor findings for different audiences (e.g., senior management, operational staff).
- Understanding of government data protection policies, especially for custodial settings.
Skills & Qualities
- Analytical mind with attention to detail; able to correlate seemingly disparate information sources.
- Excellent interpersonal skills to work assertively with multiple departments across the prison estate.
- Training ability to deliver presentations and teach operational teams new procedures.
- Clear written communication for reports, briefings, and internal documentation.
- High standards of ethical professionalism, especially with vulnerable populations.
Training Requirements
- Administrative specialists will undergo role-specific training upon appointment.
- Young Offenders units have additional mandatory suitability checks (if reallocated to that division).
