The Role
We are looking for a proactive, analytical and detail-oriented Sales Admin to join our UK team. Based full-time in our London office, this role is responsible for ensuring the seamless execution of customer operations across B2B, e-commerce and supply chain activities. Acting as the operational link between customers, Sales, Marketing, our third-party logistics provider (Oplog) and our factories, you will play a key role in ensuring order accuracy, product availability, inventory planning and an excellent customer experience. This is an excellent opportunity for someone who enjoys working with data, solving operational challenges, improving processes and collaborating across multiple business functions.
Key Responsibilities
Customer Operations & Order Management
- Manage the end-to-end customer order process from order validation through delivery and invoicing.
- Validate customer orders, ensuring pricing, stock availability and delivery accuracy.
- Monitor automated order flows and manually process customer orders where required.
- Serve as the primary operational contact for customer inquiries related to orders, deliveries and fulfilment.
- Resolve operational issues while maintaining a high level of customer satisfaction.

E-commerce Operations
- Support the day-to-day operation of Farmina's e-commerce channels, including Amazon FBM.
- Monitor order flows and resolve operational issues impacting online customers.
- Ensure accurate product availability across online channels.
- Support customer communications and operational performance within Amazon's service level requirements.
Supply Chain & Inventory Support
- Monitor stock availability and inventory levels.
- Support demand planning and replenishment activities.
- Analyse sales trends and inventory data to identify replenishment needs.
- Work closely with Sales and Marketing to anticipate promotions and demand fluctuations.
- Support import planning and stock allocation activities.
Logistics & 3PL Coordination
- Coordinate daily activities with our third-party logistics provider (Oplog).
- Monitor order fulfilment and delivery performance.
- Investigate and resolve warehouse or logistics issues.
- Support continuous improvement initiatives across logistics operations.
- Occasionally visit the warehouse in Leighton Buzzard for operational reviews and alignment.
Reporting & Process Improvement
- Prepare operational reports and performance dashboards.
- Analyse customer, sales, inventory and logistics data.
- Identify operational risks and opportunities for improvement.
- Support continuous improvement initiatives across Customer Operations.

Requirements
- 2–5 years of experience in Customer Operations, Customer Service, Sales Administration, Order Management, Supply Chain or Logistics.
- Experience with Amazon Seller Central or Amazon FBM.
- Experience managing customer orders from order entry through delivery.
- Experience working with inventory management or demand planning.
- Experience working with third-party logistics providers (3PL) is highly desirable.
- Strong analytical and problem-solving skills.
- Advanced Microsoft Excel skills.
- Experience working with ERP systems or order management platforms.
- Excellent attention to detail and organisational skills.
- Strong communication and stakeholder management skills.
- Fluent English.
- Willingness to work on-site in our Hammersmith office, five days per week.
Nice to Have
- Experience within FMCG, Consumer Goods, Retail or Pet Food.
- Experience supporting e-commerce operations.
- Knowledge of forecasting and inventory planning.
- Experience with Power BI or similar reporting tools.

Location
Hammersmith, London (5 days per week on-site) Occasional travel to our third-party logistics warehouse in Leighton Buzzard may be required.
