The Role
This is a sales administration role dedicated to supporting existing customers. The position focuses on:
- Supporting growth of existing customer accounts
- Reducing attrition through long-term contracts
- Encouraging additional investment via future contracts
- Acting as the administrative backbone behind sales, including drafting quotes, producing documentation, managing internal and external stakeholders, and ensuring seamless coordination to help customers expand their engagements with Kinetic.

Key Responsibilities
Administrative & Sales Coordination
- Track opportunities for existing customers to upsell or cross-sell additional products and services.
- Prepare professional quotes and proposals for new products using list prices and standard templates.
- Schedule and coordinate product demonstrations, preparing agendas and follow-up communications.
- Drive growth conversations by following up on customer interest.
- Liaise with internal teams (Sales, Commercial, Products, Professional Services, Finance) to answer product-related questions and ensure project timelines are correctly communicated.

Quotes, Proposals & Contracts
- Create clear, accurate, and professional proposals, pricing documents, and contracts based on templates.
- Collaborate with commercial colleagues to obtain draft contracts, clarify terms, and ensure smooth contract execution.
- Verify the accuracy of contracts, quotes, and orders before issuance, cross-referencing with earlier documents.
Sales Documentation & Presentations
- Develop and maintain on-brand sales materials, including presentations and slide decks for customer meetings and demos.
- Tailor proposal documents, pricing summaries, and collateral for renewals and account growth, ensuring consistency with brand guidelines.
- Regularly update templates and reusable sales collateral.
Tender Management (Existing Customers)
- Support tender processes by monitoring portals, registering interests, and tracking deadlines.
- Coordinate and compile tender responses, gathering input from internal teams and ensuring accurate, timely submissions.
Coordination & CRM Management
- Schedule customer meetings, demonstrations, and calls, managing both internal and external diaries.
- Send timely, professional follow-ups post-meeting.
- Maintain SalesForce CRM data (records, pipeline tracking, reporting).
- Serve as a primary point of contact for existing customers, handling queries and routing internally as needed.
What You’ll Bring
Essential
- Strong administrative abilities with effective multitasking and deadline management.
- Basic proficiency in pricing and Excel.
- Exceptional attention to detail.
- Excellent written communication with a polished, customer-centric tone.
- Familiarity with common business tools, including presentations, spreadsheets, and CRM systems.
- Proactive mindset—ownership of tasks and follow-ups.
Nice-to-Have
- Previous experience in CRM management (SalesForce or similar).
- Background in sales support, sales administration, or account management.
- Experience with tender/bid response writing.
- Familiarity with AI tools for process optimisation.
