Company Description

Victoria Miro is a leading contemporary art gallery that first opened in Mayfair, London, in 1985 and has since gained international recognition for supporting established artists and emerging voices from around the world. The gallery now operates one of London’s largest commercial spaces in a restored North London furniture factory, complemented by an adjacent exhibition and viewing space linked by a waterside sculpture garden.

In 2017, Victoria Miro expanded to Venice, opening a third location to host exhibitions, special projects, and, from 2019, an artist studio for extended residencies and new work. In 2025, the gallery launched LIVE / ARCHIVE, an innovative digital platform led by Oliver Miro and powered by Vortic, using 3D, AR, and VR technologies to share its programmes and extensive exhibition archive with global audiences.

Role Description

The Sales Administrator is required to work as an effective member of the Sales team providing comprehensive administrative support to the Senior Director, Sales and Head of Projects, Miro Presents and one (1) Director of Sales, whilst contributing to the smooth running of the wider Sales department. The role supports all stages of the sales process, artist liaison, inventory management, project delivery and database administration, ensuring an exceptional standard of service to clients, artists and colleagues. This is a fixed-term maternity cover position.

Job Description

Sales Administration

  • Prepare and send digital and physical client materials including offer emails, invoices, catalogues, press packs, Certificates of Authenticity and post-sale documentation.
  • Create bespoke online viewing links, client presentations and proposal materials.
  • Maintain client information within Artlogic and prepare client lists for offers, invitations and mail-outs.
  • Undertake Anti-Money Laundering (AML) procedures.
  • Liaise with Technical, Registrar and Exhibitions teams regarding fabrication, installation, shipping and post-sale logistics.
  • Coordinate artwork viewings and client appointments.
  • Draft client correspondence and assist with contracts, commissions and special projects.
  • Act as point person for supported Directors' clients and sales queries during periods of travel or absence.
  • Conduct market research including auction history, provenance and comparable sales.
  • Assist with the administration of secondary market consignments.
  • Arrange travel and diary support where required.

Artist Sales Liaison Support

  • Maintain artist consignment information, pricing, editions and imagery.
  • Input and manage price updates in Artlogic.
  • Liaise with artist studios and third-party galleries.
  • Ensure provenance and exhibition history records remain accurate.
  • Coordinate requests for Certificates of Authenticity.
  • Create and update artist portfolios, CVs, biographies and sales materials.
  • Prepare sales reports and briefing materials.
  • Clarify framing, installation and technical information.

Projects / Miro Presents

  • Support budget administration including FACE forms, budget tracking and end-of-project financial reconciliation.
  • Support the Digital & Exhibitions Vortic Exhibition Associate on day-to-day project management.
  • Support Senior Director, Sales and Head of Projects on pricing structures, consignment agreements, Sales Preview materials and LIVE/ARCHIVE resources
  • Assist with shipping requirements, viewing room preparation and artist documentation.

Other

  • Provide administrative support across the wider Sales department where required.
  • Attend sales meetings, staff meetings and gallery events.
  • Ensure exhibition and viewing room price lists remain accurate and up to date.
  • Cross reference art fair contacts and maintain database records.
  • Provide holiday and workload cover across the department.
  • Work on site Tuesday to Saturday

Requirements

Essential

  • Educated to degree level, or equivalent relevant professional experience.
  • A minimum of two years' experience in an administrative, sales support or client services role.
  • Excellent organisational skills with the ability to manage multiple priorities and consistently meet deadlines.
  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Strong IT skills, including Microsoft Office; experience with CRM/database systems (Artlogic experience desirable).
  • Professional, discreet and confident when working with high-profile clients and handling confidential information.
  • Proactive, resourceful and able to work independently whilst contributing positively to a collaborative team environment.
  • Strong interpersonal skills with the ability to build effective working relationships across departments.
  • Demonstrates sound judgement, discretion and diplomacy when managing confidential information, competing priorities and sensitive situations.
  • A genuine interest in contemporary art and the commercial gallery environment.
  • Willingness to work onsite Tuesday to Saturday

Desirable

  • Previous experience within a commercial gallery, auction house, arts organisation or luxury client-facing business.
  • Experience of sales administration, client relationship management and post-sale processes.
  • Familiarity with Anti-Money Laundering (AML) procedures.
  • Experience coordinating projects involving multiple internal and external stakeholders.
  • Working knowledge of Artlogic or a similar CRM/database system.
  • An understanding of the contemporary art market and its commercial practices.
