Why You Will Love Working in This Role
You will support the Service Sales UK and Ireland (Service Sales New Business & UK Business Development Manager) with administrative and reporting tasks as required.
Specific Responsibilities
Departmental Reporting

Update penetration figures monthly:
- New hardware ordered
- New hardware commissioned
- New Extended Warranty Agreements (EWAs) purchased
- Report findings to Service Sales Manager, Finance, and Service Sales Directors

Update the Service Sales Dashboard (for the Service Sales Director) and adjust the following metrics:
- Sales of MINIPower equipment for maintenance quotes by existing contract customers
- Value of new EWA orders received by each Service Sales Executive (monthly)
- Number and value of quotations raised by each Service Sales Executive (monthly)
- Number of hardware orders commissioned (using monthly commissioning reports from Navigator)
- Number and value of orders received by each Service Sales Executive (updated from Order/Quote Entry Spreadsheet)

Verify that new EWA orders on the Service Sales Order Entry Spreadsheet match entries in Navigator and Order Entry Spreadsheet.

Monthly report on the number and type of valid third-party quotes (from Navigator) and update the Service Sales Dashboard for the Director.

Report all new business orders received (monthly), extracting data from the Order entry spreadsheet and updating the Dashboard.

Run monthly reports from Navigator on maintenance quotations lost post-2020, removing outdated, invalid, or pre-existing quotes to determine active-chasing quotas. Update the relevant portion of the Service Sales Dashboard.

Run quarterly automatic battery and capacitor replacement reports for:

Contract customers (6 months notice for pending replacements, missing Preventative Maintenance Reports)

Non-contract customers (12 months notice for replacements)

Corresponding tasks:
- Create attached quote templates
- Allocate templates to Service Sales Executives as required
- Monitor progress for updates to penetration figures

Monthly:
- Run commissioning reports from Navigator (capturing generator and emergency lighting jobs)
- Set up new EWAs based on sales orders
- Create quotations, cost sheets, and reallocate to Motivate Service Sales Executives

Provide weekly reports to the Service Sales Manager on:
- Valid quotes for generator consumables
- Advise on scheduled major visits due
Departmental Management & Processes
Remedial Works
-
Allocate remedial work quotations via email queries by assigning them to Service Sales Executives.
-
Process and review MagicPen documents to ensure remedial quotations are generated. Track these across:
- Preventative Maintenance (PPM) Reports from third parties
- Field Service Reports
-
Govern and ensure equitable distribution of remediation workloads for Executives based on client prioritisation.
-
Collaborate with the Scheduling Team to track contracts warranting ‘major PPM visit’ and allocate checks/assignments to correct Services Sales Executives in collaboration with sub-contractors.

Shared responsibilities:
- Update Navigator for replaced batteries and capacitors per Field Service Reports.
- Generate updated EWA agreements for commissioned projects (i.e., new UPS, generators, and emergency lighting) sourced from:
- Sales Orders
- MagicPen Commissioning Reports
- Project department’s digital compressive files
New EWA Quotations and Process Management
- Generate Service Plan Agreements for new contracts and existing contract renewals:
- Follow up on customer-signed documents
- Ensure live-updates of EWA agreements in Navigator

Raise cost sheets aligned with commissions, PPMs (Preventative Maintenance), and FSRs (Field Service Report) delivery schedules.

Deliver process action plan:
- Regular auditing ofPenetration Figure entry records against the Business Dev’s diarisation schedule (Person tracking authorised).

Generate, evaluate, and escalate to relevant teams regarding ** niew/documents not yet tracked on Navigator**.

Maintain accurate execution of purchase orders:
- Complete orders placement for sub-contractors’ maintenance contracts in compliance with order standards.
-
EWA Issues Management:
- Process received EWAs purchase orders from Service Executives.
- Setting up preventative maintenance visit requirements and generating tracker acknowledgments.
Other Administrative Tasks

Monitor and delegating inboxes:
- Service Sales In-box (forward to appropriate teams)
- Service Sales Quotations Inbox (create new templates)

Manage new service sales templates and dedicated files for onboarding:
- Create and allocate templates new product/tools
- Maintain holistic data via revisions with proper amendments per approval channel.

Act as an administrative counterpart, managing address record updates in Navigator.

Champion task-style responsibility through productsville (e.g. otherür Navigator “Champion” initiatives) (defining internal progress reviews).

Document Management:
- File all quota elements as per specifications to e-document folders in Navigator.

Provide holiday cover for departmental requests/emergencies by:
- Processing pending orders or reassigning quotas as required.

Consistently assist compliance teams through accelerated coordination involving:
- Updated KCM assessment audited timely.
- A comprehensive bias-free EWA Issues Spreadsheet disseminated across all depth levels for progressive fix/correction support.
