Sales Coordinator

Assistant, Sales Operations

About the Role

The Assistant, Sales Operations serves as a vital link between sales teams and customers, providing critical administrative support to drive sales processes and enhance customer satisfaction. This role supports Account Managers across regions by handling various administrative tasks, processing orders, and maintaining customer relationship management systems.

The ideal candidate will have:

  • Exceptional organizational and communication skills
  • Ability to excel in a fast-paced, international environment
  • Capacity to prioritize competing demands effectively

Primary Responsibilities

Customer Support and Communication

  • Manage customer inquiries regarding:
    • Pricing
    • Contract options
    • Invoicing
    • Access issues
  • Serve as a first-level contact for customers to:
    • Triage sales requests
    • Resolve general inquiries
  • Develop product and service knowledge for effective response to customer needs
  • Maintain timely and professional communications via email and phone

Sales Administrative Support

  • Process new and renewal orders for digital products, including:
    • E-journals
    • Books
    • Databases
    • Reference works
  • Support preparation of:
    • Sales proposals
    • Quotations
    • Presentations
  • Assist with license agreements in Contract-Lifecycle-Management systems
  • Create and process sales invoices, track payments, and resolve billing issues
  • Collaborate with internal departments to resolve customer access problems efficiently

Data Management and Reporting

  • Maintain customer information accuracy in CRM systems (Salesforce)
  • Compile reports on customer usage and holdings
  • Generate reports (standard and ad-hoc) to support business decision making
  • Update databases with new and existing deal information
  • Ensure compliance with data governance policies and internal processes

Sales Operations Support

  • Assist with market research and prospecting
  • Compile prospective customer contact information
  • Support sales meetings and events administratively
  • Collaborate to optimize the sales process
  • Manage travel arrangements, scheduling, and calendars for the team

Process Improvement

  • Identify opportunities for improving processes and increasing operational efficiency
  • Assist in development and implementation of new workflows
  • Contribute to team projects as necessary

Qualifications/Education

  • High school diploma or equivalent required
  • Associate's or Bachelor's degree preferred (not mandatory)

Experience

  • Sales administration or customer service experience desired
  • Familiarity with CRM systems (Salesforce) advantageous
  • Experience in a publishing or digital content environment is a plus

Skills and Attributes

  • Excellent written and verbal communication skills in English
  • Additional language proficiency is an asset
  • Strong analytical and organizational skills
  • Microsoft Office proficiency, especially Excel (prioritized)
  • Self-disciplined with ability to prioritize tasks under pressure
  • Strong interpersonal skills and ability to work effectively in diverse teams
  • Adaptable problem-solving mindset
  • Ability to thrive in a fast-paced, high-demand environment
  • Quick learner with adaptability to new systems
