Sales Coordinator – Baxter Made in Italy

Location: 232-236 Brompton Rd, London SW3 2BB Industry: Luxury Furniture | Start Date: June 2026 Reports To: Store Manager / International Sales Manager Schedule: Full-time (5 days/week, including Saturdays)

Baxter is a leading Italian luxury furniture brand, renowned for exceptional craftsmanship, innovation and timeless design. Our London flagship showroom serves architects, interior designers, developers and private clients seeking the highest standards in luxury interiors.

We are seeking a commercially minded, highly organised Sales Coordinator to oversee all administrative, financial and operational functions of our London showroom—critical to supporting the showroom’s continued growth.


The Role

As a key member of the team, you will oversee sales operations, financial administration, and customer order management, acting as the central point of coordination between clients, Baxter’s Italian headquarters, and external partners.

The successful candidate must blend strong organisational skills with financial administration expertise, backed by a proactive, problem-solving approach.


Key Responsibilities

Sales Operations

  • Oversees the entire order management process (quotation → delivery → final invoicing).
  • Ensures accurate, efficient processing of all customer orders.
  • Monitors project timelines and coordinates with:
    • Suppliers
    • Logistics providers
    • Warehouse teams
  • Supports the sales team with:
    • Quote preparation
    • Pricing documentation
    • Customer account management
  • Maintains up-to-date CRM and sales records.

Financial & Accounting Administration

  • Manages sales invoicing, credit notes, payment tracking, and customer account administration.
  • Tracks outstanding balances and coordinates payment collections.
  • Assists with monthly financial reporting and reconciliation.
  • Liaises with:
    • External accountants
    • Internal finance teams
  • Ensures accuracy of financial records and compliance with company procedures.
  • Compiles sales/performance reports for management review.

Operational Management

  • Develops and improves administrative procedures and workflows.
  • Maintains:
    • Inventory records
    • Stock administration
  • Coordinates:
    • Showroom maintenance
    • Supplier relationships
    • Operational requirements
  • Ensures high-standard documentation and record-keeping.
  • Supports management in budgeting, forecasting, and operational planning.

Team & Stakeholder Coordination

  • Serves as the primary liaison between London and Baxter’s Italian HQ.
  • Supports administrative processes for the showroom team.
  • Builds strong relationships with:
    • Clients
    • Designers
    • Contractors
    • Suppliers
  • Ensures a seamless customer experience from sale to delivery.

Candidate Profile

Essential

  • Minimum 5 years’ experience in:
    • Operations
    • Sales administration
    • Finance administration
    • Commercial support management
  • Strong expertise in:
    • Invoicing
    • Reconciliations
    • Accounts administration
    • Reporting
  • Deep knowledge of sales operations and order management.
  • Advanced proficiency in Microsoft Excel and Office Suite.
  • Experience with:
    • CRM software
    • ERP systems
    • Accounting tools
    • Inventory management
  • Analytical and problem-solving skills.
  • Exceptional attention to detail and organisational ability.
  • Bachelor’s degree (preferred), in:
    • Business
    • Finance
    • Operations
    • Related field

Desirable

  • Experience in luxury furniture, interior design, architecture, or premium retail.
  • Fluent English; bonus for Italian or additional languages.
