About Lotus Laser Systems:
Lotus Laser Systems is a specialist UK manufacturer of industrial laser marking, engraving, and cutting systems. We work closely with customers to understand their applications, test materials, and specify systems that deliver reliable, repeatable results.
We are looking for an organized, commercially minded Sales & Commercial Administrator to support our sales team, manage customer enquiries, and help maintain an efficient, professional customer journey.
The Role:
This is a varied role combining sales administration, lead coordination, CRM management, customer communication, and practical showroom support.
You will often be one of the first points of contact for prospective customers. Your role will be to ensure enquiries are handled professionally, information is captured accurately, and opportunities continue to move through the sales process.
You will also coordinate demonstrations and sample requests, maintain the showroom, and support selected marketing activities. This position would suit someone who enjoys taking ownership, improving processes, and working across several areas of a growing technical business.
Key Responsibilities:
Sales Administration and Customer Coordination
- Respond to incoming sales enquiries by telephone, email, and website channels.
- Gather the initial information required to understand each customer’s application, requirements, and timescales.
- Qualify and distribute leads to the appropriate member of the commercial team.
- Ensure enquiries are acknowledged and followed up promptly.
- Support the preparation of quotations, proposals, presentations, and customer documentation.
- Coordinate meetings, demonstrations, online appointments, and follow-up activity.
- Maintain clear communication with customers throughout the enquiry and sample-testing process.
- Assist with sales order administration and the handover of confirmed projects to the relevant internal teams.
- Monitor outstanding actions and help ensure commitments made to customers are completed.
CRM and Pipeline Management:
- Maintain accurate and complete records within Pipedrive.
- Record customer requirements, communications, next actions, and lead statuses.
- Monitor the sales pipeline and highlight enquiries that require follow-up.
- Help maintain consistent lead qualification, segmentation, and data-entry standards.
- Produce regular pipeline, enquiry, and activity reports for management.
- Identify missing information, duplicate records, and inactive opportunities.
- Support improvements to CRM layouts, workflows, templates, automations, and reporting.
- Encourage consistent CRM use across the commercial team.

Showroom, Demonstration, and Sample Support:
- Maintain the showroom as a professional and welcoming customer environment.
- Ensure demonstration systems, displays, samples, and sales materials are organized and presentable.
- Prepare for customer visits, online demonstrations, exhibitions, and internal meetings.
- Coordinate customer sample parts, artwork, and application information.
- Track sample jobs from receipt through testing, documentation, and return.
- Carry out straightforward sample preparation and application testing following training.
- Ensure results, photographs, and supporting information are correctly recorded and shared.
- Work with the applications and technical teams when specialist testing is required.
General Commercial Administration:
- Maintain organized digital records, templates, and shared sales documentation.
- Assist with meeting preparation, note-taking, and action tracking.
- Coordinate diaries and appointments where required.
- Support exhibition planning, customer events, and supplier arrangements.
- Help maintain stocks of brochures, samples, stationery, and showroom materials.
- Provide general administrative support to the sales and management teams.
- Suggest practical improvements to administrative and customer-facing processes.
Marketing Support:
- Assist with email campaigns, customer outreach, and follow-up communications.
- Update sales presentations, brochures, and other customer-facing materials.
- Help prepare photographs, short written updates, and demonstration content for social media.
- Coordinate marketing schedules, exhibition requirements, and product promotions.
- Ensure customer-facing materials are accurate, professional, and consistent with the Lotus Laser brand.
- Work with external or internal marketing resources when required.
Skills and Experience:
Essential
- Previous experience in sales administration, commercial support, customer service, or a similar coordination role.
- Strong organizational skills with the ability to manage several priorities.
- Clear and professional written and verbal communication.
- Confidence communicating with customers by telephone, email, and in person.
- High attention to detail and accurate data-entry skills.
- Experience using a CRM system or other structured customer database.
- Good working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to follow tasks through to completion without requiring constant supervision.
- Comfortable working in a technical, manufacturing, or product-led environment.
- Willingness to learn basic laser applications and assist with practical demonstration tasks.

- Experience using Pipedrive.

- Previous exposure to engineering, manufacturing, machinery, or industrial products.
- Experience coordinating customer demonstrations, samples, or exhibitions.
- Familiarity with Canva, email marketing platforms, or social media scheduling tools.
- Experience improving administrative workflows or CRM processes.
