Sales Operations Administrator

Join us as a Sales Operations Administrator at Dedalus, one of the World’s leading healthcare technology companies, on our Sales Operations Team in UK to do the best work of your career and make a profound impact in providing better care for a healthier planet.

What you’ll achieve

As a Sales Desk you will be responsible for managing around 2,000 requests per annum for new business and annual maintenance renewals for the UKI client base.
You will work with external clients, the Territory Leads and Offering Sales Specialists within the UKI Sales organisation and with the Offering Leads within the UKI Delivery organisation to create the quotes to be sent to the client.
In addition, you will be responsible for requesting invoices in line with contractual terms, ensuring these are raised accurately and in a timely manner, thus maximising the cash flow for the company.
Working with an extended highly skilled team, you will be making a profound impact throughout the healthcare sector.

You will:

  • Manage a portfolio of clients, dealing with requests for new business quotes, support & maintenance contract renewals and requesting invoices for services provided to those clients.
  • Respond to sales enquiries and proposal approval requests in a timely manner.
  • Liaise with appropriate personnel and incorporates relevant information gathered within proposal content. Coordinate with other functional teams as needed to create required proposal documentation.
  • Assist in developing, editing, and writing original proposals and other sales-related documents.
  • Ensure customer contracts are ready for accurate invoicing by generating the monthly invoicing fees within the customer record in the finance system (D365).
  • Maintain all relevant applications for the management of the quotes to ensure they provide accurate data for valid reporting and to ensure all actions required are taken in a timely manner.
  • Proactively follow up with client business contacts with regards to overdue invoices and / or outstanding purchase orders / signed contracts.

Essential Requirements

  • Good communications skills and good interpersonal skill
  • Confident communicator, able to converse in a professional manner across all channels to all levels of stakeholders.
  • You will be highly organised and efficient, with the ability to plan and prioritise your workload and adapt to changing circumstances
  • You will demonstrate the ability to work well as part of a busy team, and to maintain good working relationships with internal and external clients.
  • You will have the ability to follow Work Instructions and agreed processes, but also have the self-confidence to reach out for support and manage more complex requests which may need solutions outside of the standard processes.
  • You will have advanced IT skills in Microsoft Office Applications, including Word and in particular Excel as you will be inputting contractual and financial data into D365 which will be used to generate customer invoices.
  • Analytical and problem-solving skills to identify discrepancies and ensure accuracy in financial reporting.

Desirable Requirements

  • Preferably be familiar with CRM and ERP systems, particularly Dynamics 365 (D365), for pipeline management and financial reporting.
  • It would be beneficial if you have previously worked in the healthcare/public sector, although this is not essential.
  • Experience of reading contracts is preferable but not essential
