We work closely with our customers to deliver projects ranging from meeting room solutions to large-scale AV deployments, providing support from quotation through to delivery and after-sales service.

As our business continues to grow, we are looking for an organised, proactive, and customer-focused Sales Operations Coordinator to join our Operations team.

Role Purpose

The Sales Operations Coordinator is responsible for supporting the successful delivery of customer projects through effective sales administration, purchasing, customer service, and operational coordination.

Acting as a central point between Sales, Purchasing, Warehouse, Finance, Suppliers, and Customers, the role ensures customer orders are processed accurately, products are purchased efficiently, deliveries are coordinated, and projects progress smoothly from order placement through to completion.

The successful candidate will be highly organised, commercially aware, and able to manage multiple projects simultaneously while maintaining excellent attention to detail and providing an outstanding customer experience.

Key Responsibilities

Sales Administration

  • Process customer purchase orders accurately within the ERP system.
  • Create and maintain customer sales orders.
  • Validate pricing, margins, and commercial terms before order processing.
  • Issue customer order acknowledgements.
  • Maintain accurate project documentation and records.
  • Process order amendments and customer changes.
  • Support the sales team throughout the order lifecycle.
  • Monitor customer orders against agreed delivery schedules.
  • Produce customer documentation and reports as required.
  • Ensure all project information is accurately maintained.

Purchasing

  • Raise supplier purchase orders.
  • Obtain supplier pricing, lead times, and availability.
  • Monitor supplier acknowledgements.
  • Chase outstanding supplier orders.
  • Coordinate supplier deliveries against project schedules.
  • Resolve supplier shortages and allocation issues.
  • Source alternative products where necessary.
  • Arrange direct-to-site deliveries.
  • Monitor supplier performance.
  • Resolve supplier invoice discrepancies with Finance.
  • Maintain excellent relationships with suppliers.

Customer Service

  • Act as the primary operational contact for customers following order placement.
  • Provide proactive updates on project progress.
  • Respond to customer enquiries promptly and professionally.
  • Manage delivery queries.
  • Coordinate returns and warranty claims.
  • Arrange replacement products where required.
  • Resolve customer issues efficiently.
  • Maintain excellent communication throughout every project.
  • Deliver an exceptional customer experience.

Logistics & Operations

  • Coordinate inbound supplier deliveries.
  • Arrange outbound customer deliveries.
  • Liaise with courier and freight providers.
  • Track shipments.
  • Resolve delivery delays.
  • Coordinate export shipments where applicable.
  • Ensure project deliveries meet customer installation schedules.

Systems & Administration

  • Maintain accurate ERP and CRM records.
  • Produce operational reports.
  • Maintain customer documentation.
  • Ensure data accuracy across all systems.
  • Support continuous improvement initiatives.
  • Follow company quality procedures and operational processes.

Skills & Experience

Essential

  • Previous experience in Sales Administration, Sales Operations, Customer Service, or Purchasing.
  • Strong organisational and time management skills.
  • Excellent attention to detail.
  • Ability to manage multiple priorities simultaneously.
  • Excellent communication skills.
  • Strong customer service focus.
  • Good commercial awareness.
  • Proficient in Microsoft Office, particularly Outlook and Excel.
  • Experience using ERP or CRM systems.
  • Ability to work independently and collaboratively.

Desirable

  • Experience within Audio Visual, Technology, IT, or Distribution.
  • Experience managing project-based customer orders.
  • Knowledge of purchasing and supply chain processes.
  • Experience using OrderWise or similar ERP systems.
  • Understanding of project coordination and logistics.
