Our client is a globally recognised, boutique executive search firm specialising in retained mandates—ranging from board-level placements to senior leadership roles. They collaborate with leading organisations to identify and secure transformational talent, leveraging a reputation built on precision, discretion, and deep market expertise.
About the Role
This is not a traditional Executive Assistant or Office Manager role. As a Business Support Executive, you'll serve as the operational backbone for a team of Partners and Associates managing high-value, senior-level retained mandates. Your core responsibility is to elevate every client and candidate interaction—spanning executive briefings, seamless cross-time-zone coordination, and polished deliverables.
Key duties include:
- Ensuring client-facing materials (e.g., pitch decks, presentations) are high-quality, on-brand, and flawlessly executed
- Managing complex schedules, travel logistics, and international stakeholder coordination
- Serving as the primary liaison between clients, candidates, and the search team
- Ownership of client and candidate experience for long-term relationships
- Driving operational improvements by identifying and implementing third-party platforms and tools

Day-to-Day Responsibilities
- Calendar & Travel Coordination: Manage internal/external calendars, scheduling, and international travel logistics
- Materials Production: Support high-impact client-facing deliverables, including pitch decks, presentations, and executive briefs
- Stakeholder Liaison: Act as the trusted point of contact between clients, candidates, and the search team throughout engagements
- Process Optimization: Collaborate across Business Support to standardise workflows and improve efficiency
- Client-Facing Representation: Work with building management and ensure compliance with operational policies
The Ideal Candidate
- Background in marketing, business support, operations, or executive searchaniemcourse (preferably in professional services, financial services, or search)
- Technical proficiency with stakeholder communication platforms (tools should support senior-level operations, not your design skills—to ensure efficient execution)
- Exceptional organisation with a keen eye for detail—pragmatic multitasker
- Commercial instincts and polished communication skills reflective of the firm’s elite clients and relationships
- Proactive problem-solver with a discretion-first mindset in a high-stakes, fast-moving environment
- Genuine curiosity and passion for executive search and leadership advisory
