POSITION SUMMARY

The Support Specialist for Partner Alliances is the operational backbone of CSafe's Global Partner Alliances team, which owns the global relationship with CSafe's logistics partners - airlines and freight forwarders - across active, passive and hybrid solutions. While Regional Senior Directors own the commercial relationship with partners headquartered in their area (Europe, Americas, APAC), the Coordinator ensures consistency, continuity and visibility across the three regions.

This is a team support and coordination role, not an account-ownership role: the Coordinator does not negotiate commercial terms or own a partner relationship, but makes sure the team operates as one global function rather than three regional silos - particularly when a business opportunity and an operational matters involving a partner crosses regional lines (e.g., a business or operational matter at a partner's station in a region outside the account owner's base).

The role sits under Sales but is highly operational in practice, requiring close cross-functional coordination with the Regional Senior Directors, Operations, Legal and Finance - and, for matters that intersect with CSafe's pharmaceutical customers, the Global Key Account (GKA) team (see "Interface with Global Key Accounts" below).

KEY RESPONSIBILITIES

GLOBAL COORDINATION & CROSS-REGIONAL TRIAGE

  • Serve as the central point of contact for any partner-related matter that spans more than one region (e.g., an opportunity or operational issue arising at a partner's station or hub located outside the Regional Senior Director's own area).
  • Triage incoming cross-regional signals, route them to the correct Regional Senior Director, and loop in the relevant regional colleague on the ground for local support, tracking that each is acknowledged and actioned.
  • Maintain a single, shared view of each strategic partner across regions so no Regional Senior Director is blindsided by activity happening outside their area.
  • Escalate to the Head of Global any cross-regional matter that touches pricing authority, contractual terms, or ownership disputes.

INTERFACE WITH GLOBAL KEY ACCOUNTS (GKA - PHARMA CUSTOMERS)

  • Act as the secondary point of contact for GKA-originated requests that touch the partner side (e.g., a pharma customer issue linked to an airline or forwarder), for cases that are cross-regional or require escalation.
  • Support Regional Senior Directors in maintaining direct, day-to-day relationships with their regional GKA counterparts, without inserting the Coordinator into every routine exchange.
  • Maintain and communicate a clear protocol for when a GKA-related matter should be handled regionally versus routed through the Coordinator or the Head of Global.

BUSINESS REVIEWS & ACCOUNT PLANNING

  • Support the Regional Senior Directors in preparing for Quarterly Business Reviews (QBR) and Business Reviews with airlines and freight forwarders - e.g., assembling data, formatting materials, drafting agendas on request - while the Regional Senior Directors own the content, relationship, and delivery of each review.
  • Support the Regional Senior Directors in creating and maintaining a standard global account plan template for each strategic partner; the Regional Senior Directors remain responsible for the content and upkeep of their own account plans, with the Coordinator providing the shared template, format consistency, and reminders.
  • Help track open opportunities, action items and commitments arising from business reviews through to closure, flagging status to the relevant Regional Senior Director rather than owning follow-up on their behalf.
  • Experience with AI programs a plus.

CONTRACTS & COMMERCIAL DOCUMENTATION

  • Maintain a repository of standard partner agreement templates - including Non-Disclosure Agreements (NDAs), Master Lease Agreements (MLAs), contract addenda, and special lease agreement terms - so Regional Senior Directors work from consistent baselines.
  • Coordinate with Legal and Finance on contract routing, renewals and amendments for partner agreements.
  • Track approval thresholds for non-standard pricing or lease terms and ensure the right sign-off (Regional Senior Director vs. Head of Global) is obtained and documented.
  • Maintain a global RFQ database, logging RFQs received across all regions along with outcomes (win/loss) and key commercial terms, to support consistency and pattern-spotting across partners.
  • Support Regional Senior Directors in tracking partner rebate and incentive program data and performance across regions (data and reporting support; program design and negotiation remain with the Regional Senior Directors and Head of Global).

REPORTING & KPIs

  • Build and maintain a global dashboard of partner performance (e.g., via Power BI): volumes, service levels, open opportunities and issue resolution by region and by partner.
  • Produce consolidated reporting for the Head of Global ahead of internal and executive reviews.
  • Maintain accurate partner data in Salesforce and Power BI across all three regions.

PROCESS IMPROVEMENT

  • Identify gaps or inconsistencies in how the three regions operate (documentation, review cadence, escalation handling) and propose standardized playbooks.
  • Support onboarding of new Regional Senior Directors with consistent tools, templates and ways of working.

QUALIFICATIONS

REQUIRED

  • Bachelor's degree in Business, Supply Chain, Logistics, or related field (or equivalent experience).
  • 3-5 years of experience in sales operations, program/partner management, or commercial coordination, ideally in a global or matrixed organisation.
  • Experience working with or supporting relationships with airlines, freight forwarders, or logistics partners; exposure to healthcare/pharma logistics, cold chain, or GDP-regulated environments is a strong plus.
  • Strong proficiency with Salesforce (CRM) and Power BI, in addition to Microsoft Office (Excel, PowerPoint, Word).
  • Excellent organisational skills and comfort managing multiple regional stakeholders and time zones simultaneously.
  • Fluent English, written and spoken (mandatory); additional languages a plus given the team's international footprint.

PREFERRED

  • Familiarity with lease agreements, pricing structures, or contract management in an aviation/logistics/leasing context.
  • Prior experience in program-management, sales-operations, or partner-enablement role supporting a globally distributed team.
  • Experience working across time zones with Europe, Americas and APAC stakeholders.

WORKING CONDITIONS

  • Home or hybrid environment (depending on home location); role requires regular scheduling across Europe, Americas and APAC time zones.
  • Occasional extended or shifted hours to accommodate business reviews and coordination calls across regions.
  • Some travel expected for key partner business reviews and internal team meetings (>10%).
