On Event Production Co is one of the UK's leading live event production and scenic fabrication companies, delivering technical and creative solutions for conferences, awards ceremonies, exhibitions, product launches, fashion shows and live experiences across the UK and Europe.
Working with major brands, agencies and event organisers, we combine technical production expertise with in-house scenic fabrication to create exceptional event environments. Following continued growth within our Scenic Fabrication division, we are looking for a Scenic Administrator to join our team and support the successful delivery of projects from concept through to completion.
The Role
We are seeking an organised, proactive and adaptable individual to join our Scenic Fabrication team as a Scenic Production Assistant.
This role is ideal for someone who enjoys working in a fast-paced environment, has excellent attention to detail and takes pride in keeping projects organised and on track. Working closely with our Scenic Project Managers, Workshop team and suppliers, you will play a key role in supporting the planning, administration and delivery of multiple projects simultaneously.

Key Responsibilities
- Provide administrative support to the Scenic Team across multiple live projects.
- Raise purchase orders and assist with ordering materials, equipment and services.
- Coordinate labour bookings and support resource planning activities.
- Assist with project scheduling, progress tracking and delivery planning.
- Support transport and logistics planning for project deliveries and collections.
- Maintain accurate project documentation, records and filing systems.
- Assist with project costing and event accounts administration.
- Liaise professionally with suppliers, clients and internal departments.
- Support the team in delivering projects safely, efficiently and to the highest standard.
- Help maintain organisation across multiple projects, ensuring deadlines and project requirements are met.
Essential Skills
- Excellent organisational skills with strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Good working knowledge of Microsoft Office, particularly Outlook, Excel and Teams.
- A proactive and positive approach to work.
- Strong time management skills and excellent punctuality.
- Ability to work effectively both independently and as part of a team.
- A willingness to learn and develop within a growing business.

Desirable Skills
- Previous experience in an administrative, coordination or project support role.
- Experience within the events, fabrication, construction or creative industries.
- Familiarity with project management or scheduling processes.
- Experience liaising with suppliers and managing purchasing activities.
Working Hours
This is a full-time role based on a 37.5-hour working week from our Castle Donington facility. However, due to the nature of event installation and operation, flexibility is essential. Shifts may include early starts, late finishes, and a mix of weekdays and weekends.
