Secretary Trustee - Volunteer

Careers Springboard is a registered charity based in Gerrards Cross, Buckinghamshire (Bucks). Volunteers provide free help, direction, and coaching via Zoom to redundant, unemployed professionals and graduates seeking employment. Your location must be in the UK.
About the Role

- Over 35 years, Careers Springboard has supported 3,500+ job seekers in getting back into work.
- Our services operate 24/7 as job seekers engage with workshops, coaching, and resources before moving forward in their careers.
- The Secretary is crucial to maintaining accurate records of meetings, workshop notes, policies, and compliance with sponsorships, the Charities Commission, and supporters.
A strong Secretary volunteer will ensure:
- Accurate and organised records of meetings, developments, and action points.
- Advisory support to the Executive Committee (all Trustees of the charity).
- Tidy, accessible Google Drive files for the Executive Committee.
- Collaboration with the Chairperson on a weekly basis.
The Secretary will deeply observe and follow Careers Springboard’s key services, including:
- CV preparation, interview techniques, LinkedIn strategies, networking, digital job searches
- Transferable skills analysis, confidence rebuilding, starting businesses, interim leadership
- 1-to-1 coaching and mentoring for unemployed professionals and graduates (free support)
Our services are delivered entirely free for job seekers, with reliance on 43 skilled volunteer professionals (qualified in HR, executive coaching, business mentoring).

- Participate in:
- Approximately 20% of our weekly Monday evening meetings (Zoom).
- Four annual Executive Committee meetings and the Annual General Meeting (AGM).
- Treaty to prepare agendas, take minutes, and distribute action points to the Executive Committee.
- Maintain records of all meetings, policies, and actions for compliance and transparency.
- Ensure Google Drive files are organised and accessible for Trustees and administrative needs.
- Assist the Treasurer in keeping the update Trustee roster for annual reporting to the Charity Commission.

- Attend occasionally at Monday evening Zoom sessions.
- Invest 1–2 hours weekly for admin/secretarial tasks.
- Provide clear procedural advice based on Careers Springboard’s Constitution and Charity Commission regulations.
Requirements
Essential Skills and Experience
✅ At least 3 years of secretarial or administrative experience ✅ Strong command of spoken and written English (vital for note-taking, minutes-writing, and communication) ✅ Experience taking minutes (online/physical) and arranging meetings ✅ Experience using Google Drive for document storage, record-keeping, and collaborative filing ✅ Basic IT skills (emails, documents, spreadsheets, digital files) ✅ Location in the southern UK, with occasional access to South Buckinghamshire (closest to Gerrards Cross) ✅ Ability to use Zoom for meetings, interviews, and communications
Advantages

Interview Process
- Shortlisting. Interviews first conducted via Zoom by a Trustee.
- Final Interviews with the Chairperson (usually via Zoom, occasionally in person at our base in Gerrards Cross).
- Note: Upon success completing a 6-12 month training period, you’ll be invited to become a Tr técnate with the Executive Committee at our Annual General Meeting.
Time Commitment
- Participate selectively in the Zoom-based weekly meetings.
- Prepare and submit minutes for all four Executive Committee meetings (four times/year).
- 1–2 hours per week for admin, documentation, and record-keeping.
Join as a Secretary volunteer to support a transformative charity, develop governance skills, and play a key role in empowering professionals returning to work. Transition to Trustee status after initial dedicated commitment. No experience levels are too small to impact!
