About the Role

A Sector Classification & Monitoring Administrator at The Investment Association provides administrative and operational support to the Sector Monitoring & Classification Officer and the Head of Sectors. The role supports the accurate classification and monitoring of funds within IA sectors by assisting with sector classification requests, coordinating data collection and submission, maintaining accurate records, and supporting projects that help uphold the integrity of the Sectors scheme. The role requires careful attention to detail, strong organisation, and clear communication with member firms, data vendors, internal teams and external partners, while developing knowledge of sector classification and data management processes.

Main Duties

Sector Classification & Monitoring

  • Assist with the end-to-end process for classifying funds into IA sectors, including new launches and sector changes.
  • Support the coordination of sector classification requests, helping to liaise with member firms, data vendors and internal teams.
  • Support the collection and submission of required data, including static data forms, FUM & Transaction data, portfolio holdings data and prospectuses.
  • Maintain comprehensive and accurate records of sector submissions, decisions and related correspondence.
  • Assist with regular reviews and reconciliation of the Sector Members account list, working with the Membership and Accounts teams to support the accurate calculation and collection of sector member fees.
  • Support the No Data Project by helping to identify funds that have not submitted data for three consecutive months, maintaining records of data gaps and assisting with follow-up correspondence with fund managers.
  • Assist with liaison with the Morningstar team on the reconciliation of the Nominated Primary share class list used for the calculation of sector performance data.
  • Support the Head of Sectors on enforcement and breach proceeds and provide the administrative support required to initiate sector breach processes by coordinating with sector member firms and the monitoring company – Morningstar.

Equity Income Sectors – Yield Data

  • Support the request for monthly yield data from funds in the Equity Income sectors, including tracking and filing responses, recording data received and helping to maintain the contacts list for fund representatives.
  • Assist with maintaining and updating the official spreadsheets on the IA website, helping to ensure fund entries are kept up to date and accurate.
  • Support the updating of official spreadsheets with FTSE All-Share and MSCI World yield figures and assist with the administration of the yield tests used to assess eligibility for continued inclusion in the IA sectors.
  • Assist with preparing and sending communications to fund managers regarding outcomes, including timelines for fund removal or confirmation of continued eligibility, under the guidance of the Sector Monitoring & Classification Officer and wider team.

Stakeholder Engagement & Communication

  • Provide timely, clear and helpful administrative support in responding to queries from members, escalating more complex queries where appropriate.
  • Support engagement with member firms, data vendors and internal teams by helping to coordinate information requests, responses and follow-up actions.
  • Work closely with the Sector Monitoring & Classification Officer, Head of Sectors and colleagues across the Market Insight & Fund Sectors division to support the smooth delivery of sector classification and monitoring activities.

  • Good written and verbal communication skills, with the ability to communicate clearly and professionally with sector member contacts, data vendors and colleagues.
  • Able to support positive working relationships with internal and external stakeholders.
  • Confident in escalating queries or issues appropriately and seeking guidance where needed.

Initiative & Independence

  • Proactive and willing to take ownership of administrative tasks within agreed processes.
  • Able to use initiative to follow up on outstanding information, keep records updated and support timely delivery.
  • Willing to learn about IA sectors, fund classification and monitoring processes.

  • Basic to good Microsoft Excel skills, with a willingness to develop further spreadsheet and data-handling capability.
  • Confident using Microsoft 365, SharePoint and other internal digital tools to support day-to-day administration.
  • Comfortable updating records, tracking responses and maintaining shared files and spreadsheets accurately.
  • Willing to learn how to update the website with relevant sectors data and information and to use the IA’s FUNDAnalyser database, where required.
