Senior Accounts Assistant

Supplier/Vessel Invoices & Monthly Funding Cycle – Revenue Operations Assistant (Accounts)

About the Company

Lykiardopulo & Co. Ltd are a long-established family-run shipping agency, acting as London agent for Greek ship managers Neda Maritime.


Role Overview

This position is for an experienced senior accounts assistant to support accounting operations, invoice processing, and monthly funding cycles, while contributing to broader office admin tasks where needed.

Key Responsibilities

1. Supplier & Vessel Invoice Management

  • Sort and process supplier invoices received via post, email, or from Neda Maritime
  • Post invoices in Danaos accounting software and process payments upon settlement
  • Distribute invoices to relevant departments for approval workflows
  • Maintain creditors’ ledger tracking (invoice status, queries, due dates)
  • Respond to supplier queries/chase emails/calls for accurate supplier statements

2. Batch & Payment Processing

  • Prepare invoice batches in Excel for batch payments
  • Process supplier payments via online banking (DNB) environment
  • Maintain up-to-date beneficiary bank records for the banking platform

3. Monthly Funding Cycle Leadership

  • Lead the estimation and forecast of month-end requirements (which invoices will/will not require settlement)
  • Obtain directorial approval for monthly funding cycles and manage related queries

4. Financial Controls & Reconciliations

  • Maintain an Excel-based Extended Trial Balance (ETB) for monthly control estimates
  • Perform month-end reconciliation of Danaos accounting activity with ledger cards (handling bank accounts and vessel-level cash flow)
  • Manage "recharging expenses" (e.g., shared costs, pre-acquisition expenses)

5. Foreign Exchange (FX) Management

  • Monitor multi-currency invoices (USD/EUR/SGD/JPY/HKD) for optimal FX trading recommendations
  • Track when advantageous to sell USD for other currencies to minimise costs

6. Brokers & Owner Payments

  • Process and approve brokers’ commission invoices; prepare monthly payment batches for management
  • Assist with owners payments (e.g., bunker invoices, hull/war risk insurance premiums)
  • Record payments and prepare spreadsheet schedules for tranched payments

7. Office & Business Administration

  • Handle offices admin and internal supplier invoices in Sage accounts software
  • Ingate invoicing of agency/commission fees and other chargeable costs

8. Excel Tracker Maintenance (Voyage Files)

  • Set up new vessel fixtures (charter/leases) within Excel
  • Enter hire statements from Operations Department
  • Record hire/freight payments from Charterers and broker commission invoices

9. Office Communication & Emails

  • Read all office incoming and outgoing emails, including non-business hours messages; may require action during weekends

10. Reception Coverage

  • Provide minimal reception duty when needed but not regularly

  • Attention to Detail: Highly meticulous and conscientious with a commitment to accuracy.
  • Cross-Departmental Collaboration: Ability to work with multilingual colleagues (English as second/third language) with differing priorities.
  • Communication & Leadership: Strong communication skills; the ability to lead factual discussions confidently.
  • Team Orientation: Willing to support shared team objectives.

Technical & Business Skills

  • Numeracy & Analytical Thinking: Skilled in evaluating, tracking, and reconciling financial data.
  • Excel Proficiency: Accustomed to complex spreadsheets (invoicing, funding cycles, and cash flow controls).
  • Company Culture: Embrace a non-routine, challenge-driven environment focused on maritime transport and global shipping.
  • Practical Accounts Experience: Previous accounts/revenue work is highly desirable.

  • Small & Close-Knit Team: Office has 11–12 staff, with a 5-person accounts team.
  • Non-Routine Work: Operate in an environment that combines historical​ tradition and modern financial processes.
