Senior Admin Assistant
Administrative Support Specialist
Job Overview
We are looking for a highly organized and reliable Senior Admin Assistant to provide high-level administrative and operational support to management. This role plays a key part in ensuring structure, efficiency, and smooth day-to-day operations, while supporting managers primarily based in the United States, with senior managers based in the UK.
This is a fully home-based position suitable for someone who enjoys working independently, bringing order to complex situations, and supporting multiple stakeholders in a professional, structured manner. The ideal candidate is:

- Able to maintain clarity and organization in a fast-paced environment
Key Responsibilities
Administrative Support
- Provide comprehensive administrative support to management, including:
- Calendar coordination, meeting organization, and follow-up actions
- Preparation, formatting, maintenance, and distribution of documents, reports, presentations, and correspondence
- Organization, recording, sorting, and maintaining files and information in line with internal standards
- Manage email and information flow:
- Respond to inquiries
- Route requests appropriately
- Coordinate:
- Travel arrangements
- Meetings
- Appointments
- Operate standard office systems and tools to support daily administrative activities
Operational & Cross-Functional Support
- Support managers with tasks across:
- Finance
- Planning
- HR
- IT
- Other corporate services as needed
- Assist with:
- Data tracking
- Reports
- Preparation of materials for leadership discussions
- Serve as a coordination point between managers and internal teams, ensuring:
- Clear communication
- Effective execution
- Proactively track:
- Action items
- Deadlines
- Deliverables to ensure follow-through

Working Hours & Location
- Full-time, fully home-based role
- Standard working hours (local time): ~08:00 – 17:30
- Role supports US-based managers but does not require working US time zones
Qualifications
Required
- High School Diploma or equivalent
- Minimum of 3 years of experience in an administrative, secretarial, or similar support role
- Strong organizational, prioritization, and time-management skills
- Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint)
- Strong written and verbal communication skills in English
- Ability to work independently in a remote setup
Preferred
- Experience supporting senior managers or leadership teams
- Experience working in an international or matrix environment
- Comfort in working with:
