Location: Role based at Merrion House, Leeds, with potential on-site work across other council locations
About the Role
As a Senior Administration Assistant, you will support Leeds City Council by providing vital administrative services for the most vulnerable children and adults in the city.
This is a customer-facing role in the Duty Advice Team, supporting statutory safeguarding responsibilities for Children & Families.
Key aspects of the role include:
- Answering and redirecting high volumes of incoming enquiries (calls, emails, etc.).
- Aggregating, recording, and retrieving data from council IT systems.
- Providing front-line administrative support during emergency safeguarding situations.
- Collaboration with Social Work teams, professionals, and external partners.
- Confidential handling of emotive and sensitive information with adherence to strict Information Governance and Data Protection standards.
Your emotional resilience will be vital due to the nature of the work. Hybrid working will follow training completion post-onsite induction at Merrion House.

Responsibilities
Workstream Duties
- Duty & Advice / Domestic Violence Front Door (DV FD):
- Deliver high-standard front-line administrative support to Children & Families Duty & Advice Team to ensure a professional, compassionate, and responsive response.
- Manage confidential safeguarding enquiries (phone/emails) and funnelling calls to the Social Work Duty & Advice Team as appropriate, ensuring escalation protocols are followed.
- Maintain a comprehensive database of client needs, processes, MARAC/DRAM (Multi-Agency Risk Assessment Conference/Domestic Violence Risk Assessment measures) cases, and related referral pathways.
Shared Services Responsibilities
- Handle numerical/alphabetised administrative tasks with precision (checking data, enter data accurately).
- Evenly distributed workload self-management. Assess problem areas and propose sustainable resolutions.
- Support and induct new colleagues. Provide initial guidance before referrals to manager.
- Data-driven reporting. Collect and aggregate information into clear insights and reports as required.
- Legal, financial, operational compliance (audit, confidential, child care safeguarding, local authority policies).
Team & Cultural Alignment
- Build and maintain professional relationships with colleagues (including senior management), Members of the public, voters, and partner agencies.
- Flexible mobility across multiple Leeds City Council sites as required.
- Preventative and proactive culture challenger – identify κ opportunities for efficiency gains.
- Commit to approved appraisal/training sessions for knowledge updates across medication, policy shifts, and systemic workflows.

Qualifications & Technical Requirements
Essential:
Able to demonstrate:
- Numeracy & Literacy Skills (qualification or equivalent proof).
