Department: Human Resources Location: London Contract Type: Fixed-Term (12 months) Corporate Level: Senior Associate Reports to: Vice President, Payroll and HR Shared Services
About the Role
The Senior Associate, HR Shared Services will be based in London and is part of a global team responsible for maintaining the company’s payroll systems and HR operations across multiple regions.
Responsibilities

Payroll Administration:
- Work with external providers to administer US semi-monthly and UK/monthly (Hong Kong, Japan, Germany, Switzerland) payroll processes
- Support tax filings (monthly, quarterly, annual) and year-end procedures in all locations
- Prepare and reconcile general ledger and payroll accounts

Benefits & Onboarding:
- Support US open enrollment and UK benefits annual enrollment
- Assist with internal/external payroll audits
- Provide world-class candidate care through the onboarding process (liaise with candidates, managers, and Talent Acquisition)

HR Data & Employee Lifecycle:
- Proactively maintain and administer accurate HR data via UKG Pro
- Administer employee lifecycle processes (recruitment → onboarding → offboarding)

Operational Support:
- Provide administrative support to HR teams (HR Business Partners, Learning & Development, Reward, Global Mobility, Talent Acquisition)
- Process purchase orders and invoices in collaboration with finance
- Partner with HR and CLS teams to support HR processes and projects

Employee & Stakeholder Liaison:
- Resolve HR/payroll/benefits-related queries for employees

Basic Compliance & IT:
- Knowledge of US local/state/federal payroll laws (advantageous)
- Proficiency in UKG, Greenhouse ATS, and Activ preferred
Requirements
Experience & Knowledge:
-
Required:
- US payroll administration experience
- Payroll/benefits processing knowledge
- In-person (corporate) payroll administration for UK, HK, Japan, Germany, Switzerland (highly desirable)
- Pre-emptive attention to detail and accuracy in data handling
- Multi-tasking ability (manage high-priority tasks efficiently)

Preferred:
- Payroll certification (e.g., CSP, CPP)
- Experience with Excelsior (International PEO systems)
- Familiarity with studios rostering system
Skills:

Technical:
- Quickbooks Payroll, Deel, UKG Pro, Greenhouse ATS, Activ
- Proficient in Excel and Word
- Data input validations skills

Personal:
- Customer service excellence (verbal/written communication)
- High ethical standards—ability to handle confidential HR information
- Teamwork & collaboration
