Senior Bid Writer

Bid Quality Lead

Context

As part of SYSTRA’s bid team, you will play a key role in expanding their business while acting as a champion for bid Quality. This involves:

  • Larger bids: Collaborating closely with the Bid Manager and Subject Matter Experts to craft or review responses, ensuring they meet client tender requirements and maximise evaluation scores.
  • Smaller bids: Providing guidance, model responses, and ongoing support.
  • Knowledge sharing: Leading training and engaging bid teams to disseminate best practices in bid writing.

Mission & Main Duties

  • Collaborate with Bid Directors & Managers: Develop proposal structures and produce written responses, presentations, and collateral—all within strict deadlines.
  • Quality Review & Coordination: Review and edit previously drafted content, gather evidence, and craft winning bid themes/propositions in collaboration with bid teams.
  • Efficient & Persuasive Writing: Produce concise, compelling, and client-aligned content under tight deadlines.
  • Bid Document Alignment: Ensure bid presentations and supporting materials are cohesive and strategically consistent with client requirements.
  • Compile & Distil Information: Synthesis of insights from multiple sources into clear, comprehensive responses.
  • ** Skills Development**: Support bid team members in writing and producing their own materials.
  • Bid Library Asset Creation: Help develop and refine the bid library content.
  • Quality Audits: Assess past bids for continuous improvement.
  • Client Engagement: Engage with clients to understand both current and future needs.
  • Decision Support: Review preliminary bid documents to assess go/no-go decisions based on business strategy and success probability.
  • Internal Familiarity: Maintain awareness of SYSTRA’s design capabilities, operational processes, and teamlead structures.
  • Cross-SYSTRA Collaboration: Foster strong relationships across the broader UK organisation to leverage collective expertise.
  • Risk Mitigation: Draft key bid elements with colleagues while ensuring commercial requirements and risks are addressed and mitigated.
  • Learning Culture: Champion improvements through lessons learned and collaboration with SYSTRA Group’s ‘Bid Excellence’ team.

General Responsibilities

  • Resource Allocation: Negotiate with department managers to assign technical/engineering personnel as needed.
  • Performance Management: Support HR in appraising and mentoring staff working on bids.
  • Commercial Oversight: Manage bid budgets, update SYSTRA’s financial systems, and assist with projet invoicing.
  • Progress Reporting: Create and deliver updates to internal stakeholders.
  • Health, Safety & Welfare: Engage with HR/SYSTRA initiatives for health, safety, and company-wide safety compliance.
  • Relationship Building: Maintain open, collaborative relationships with clients, external partners, senior management, peers, and employees.
  • Assessment Center Involvement: May participate in interviews, hiring, and employee training.
  • Compliance Obligations: Strict adherence to SYSTRA’s Health and Safety requirements.

Profile & Required Skills

Experience

  • Degree or recognised engineering qualifications.
  • Proven success in:
    • Delivering high-quality bid/proposal responses.
    • Grasping commercial and contract terms.
    • Translating client needs into actionable technical proposals.

Skills

  • Essential:

    • Exceptional communication & collaboration skills (cross-cultural teams, time zones).
    • Ability to make decisive decisions under pressure.
    • Fluent and concise written English (perfect grammar, clarity).
    • Strong engineering/technical knowledge with a quick learning curve.
  • Desirable:

    • Proficiency in InDesign or design software.
    • Self-motivated with robust time management skills.
    • Ability to motivate and mentor others.
