Procurement & Logistics Administrator

Location

London, Hammersmith

Working Pattern

Mon–Fri (37.5 hours), Eligible for virtual/flexible working

Reports to

[Senior Manager, Procurement – EMEA & APAC]


Role Purpose

This role is responsible for facilitating all procurement activities relating to the fulfilment of products shipped directly from factories to international customers, in close collaboration with the:

  • Funko Far East logistics team
  • Local Sales and Credit Management Teams
  • Funko HQ (Everett, WA)

Key Responsibilities

Procurement & Order Management

  • Create, issue, and actively maintain supplier purchase orders for direct customer shipments (EMEA & APAC).
  • Coordinate with the Hong Kong office for all EMEA & APAC shipments:
    • Update customer pricing on shipping invoices.
    • Resolve logistics/supply issues efficiently and in a timely manner.

Accountability & Reporting

  • Provide internal & external stakeholders with necessary reports to manage customer shipping expectations proactively.
  • Act as the business conduit for shipping matters involving direct freight to ensure smooth ownership transfer (in accordance with customer-specific Incoterms).

Cross-Team Coordination

  • Work closely with:
    • Funko Far East (planning/coordinating imports from APAC factories)
    • Funko USA direct shipment teams
  • Provide support to the sales organisation concerning:
    • RMA (Return Merchandise Authorisation)
    • Credit note queries

Customer Relations & Revenue Support

  • Chase down expected product allocations for VIP customer relationships.
  • Support Sales with visibility of expected revenue.
  • Maintain accuracy across dual systems (365/NAV/Customer order book), ensuring reconciliation.

Stakeholder Relations

  • Develop constructive and cooperative relationships with key business stakeholders.

Requirements

Essential

  • Previous experience in a procurement/logistics administration role.
  • Familiarity with ERP solutions, preferably Microsoft Dynamics 365.
  • Highly competent in Microsoft Office, with strong Excel skills.
  • Proven track record in fast-paced office environments (ability to remain calm under pressure).
  • Highly organised, with excellent time management skills.
  • A self-starting ‘can-do’ attitude as a team player.
  • Understanding of imports/exports (global trade) procedures.
