About the Role  Now in it’s 15th year, The Big Feastival is the ultimate music, food and family festival, taking place over August bank holiday weekend on Alex James’ idyllic Cotswolds farm.  Taste of London is an annual 5-day culinary celebration of all things food and drink set in the heart of Regents Park. 

We are seeking a proactive and highly-organised Senior Event Coordinator to join the Arts & Entertainment division at MARI, working across Big Feastival and Taste of London. This is an exciting opportunity for someone passionate about live events, programming, developing new event concepts and delivering exceptional audience experiences.   

The Senior Event Coordinator will provide essential administrative support to the wider Event Management team. Responsibilities will include maintaining and updating key event documentation, assisting with contracts, processing invoices, advancing performers, taking meeting minutes, and ensuring smooth delivery across multiple event areas.

The role will also involve researching, sourcing, and assisting with the booking of selected festival content, while managing the booking process from initial outreach through to contracting, budget tracking, and onsite delivery. In addition, the Senior Event Coordinator will support communication with talent, suppliers, and key stakeholders by preparing and distributing event information, schedules, and performer packs. Onsite, the successful candidate will play an active role within the event management team, supporting a wide range of operational duties including contractor liaison, feature coordination, talent management, and assisting with the delivery of various festival activations and experiences.

What Success Looks Like: 

  • Bringing new, exciting, relevant and creative event concepts to the Event Management team. Working closely with the Event Manager/ Director to develop the program for select stages and new activity areas at the events.
  • Creating a strong and well thought out programme that reflects the Big Feastival audience, meets the stage identities and is within the allocated budget.
  • Delivering an exciting programme of masterclasses, VIP events and live music elements for Taste of London.
  • Effectively managing the end-to-end booking process for 100+ performers, arranging all information documents, payments, contracts, tech/ site requirements etc. for each performer.

What You'll Own: 

  • Leading on researching, booking and managing content for key stages and select feature areas at the events. 
  • Budget management for these areas and activities. 
  • Drafting and issuing contracts, liaising between contractors/ agents and Legal to discuss large scale and complicated agreements.
  • Creation of Advancing Documents, Info Packs and Stage and Site Briefing Documents.
  • Advancing performers and keeping clear records of information, feeding into shared documents and processes.
  • Managing payments for performers to ensure they are completed within the business’ requirements: collecting, chasing and completing all required documents and submitting invoices for payment.
  • Briefing and overseeing Stage and Feature Managers on site at the Events to ensure the smooth delivery of the programme. Supporting with Talent Liaison as required.

What You Bring: 

  • Prior experience working within Live Events and a keen interest in Live Events / Festivals. 
  • Strong organisational skills and high attention to detail.
  • A proactive, can-do attitude with a willingness to support  across the team.
  • Excellent written and verbal communication skills.
  • The ability to multitask and prioritise in a fast-paced environment.
  • Calmness under pressure, working with changing situations and deadlines.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Docs (Sheets & Docs).
  • The ability to produce strong documentation (creative flair on powerpoint a plus!).
