What You Would Get To Do

In this capacity, the ideal candidate would represent the FIRST brand as an implanted team member for a well-known technology company. The Senior Event & Venue Specialist will consistently deliver exceptional service to our client through excellent operational and logistical facilities management. This position will be responsible for managing, supporting and/or executing the coordination of various events within the client’s meeting spaces while being the main point of contact to the client. The role requires a strong operational lens, an understanding of high standards of delivery excellence and practical experience in event logistics and venue management.

In this role you’ll work with internal teams as well as external clients and vendor-partners on a daily basis as the central point of contact to coordinate the logistical needs of the event space.

Your Contributions

  • Central point of contact to facilitate the venue’s logistical needs including the coordination of catering, audio-visual, security, swag/collateral
  • Main point of contact to the client for day to day operations
  • Manage booking requests/room blocks utilising the client’s internal system and ensure calendar invitations are sent for prep meetings and speaker scheduling
  • Manage event allocation for Event & Venue Specialist team
  • Administrative duties including management of the internal events calendar, supply management, event documentation, post event communications to key stakeholders, event surveys, complex databases and metrics
  • Lead and manage centre tours and demos
  • Lead and manage pre event meetings and rehearsals
  • Event responsibilities include, but are not limited to, logistical and operational oversight, coordination with internal service lines, collaboration with Event Production teams and third-party vendors
  • Manage client expectations on logistical issues and escalate issues as needed
  • Liaise and build relationships across different levels within the immediate team and the client’s organisation; effectively work cross-functionally
  • Work with the team to ensure adherence to client standards of operations
  • Take initiative by offering innovative ideas and implementing creative solutions.
  • Regularly monitor the venue to ensure optimal functionality, collaborating with the venue team and facilities to address maintenance needs and implement updates.
  • Develop standard operating procedures as needed and ensure team adherence to established protocols and compliance processes. Provide guidance and support in event planning, offering advice and recommendations to assist in the successful execution of the client’s internal events.
  • Foster a culture of knowledge-sharing and innovation by encouraging the team to stay informed on best practices, services, and venues, while promoting proactive problem-solving and creative solutions.
  • Support team development through mentorship, skill-building, and ongoing feedback to drive professional growth.
  • Train and onboard new team members, ensuring they are proficient in workflows, responsibilities, and administrative procedures.
  • Create and maintain training documentation for the team
  • Provide feedback to Team Lead on team, client and centre operations
  • Work with the team to provide feedback to team leadership on possible enhancements and improvements to the event space

What We Are Looking For

  • 5-7 years of relevant experience
  • Must be fluent in English
  • General knowledge of Audio Visual (AV) systems required, with experience collaborating with production teams to support event technical needs preferred.
  • Experience working cross-functionally with all levels of stakeholders in a fast-paced environment
  • Creative problem solver, resourceful, team player
  • Adaptability to situations and ever-changing demands
  • Highly organised with the ability to handle multiple tasks to meet strict deadlines
  • Excellent time management
  • Ambitious and proactive with a calm and flexible approach to handling pressure
  • Experience working on large and complex databases
  • Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
  • Work intelligently and ensure management is aware of problems or issues which negatively affect productivity
  • Build excellent relationship with team through positive communications
  • Ensure knowledge is shared within the team to enable them to work smarter and more efficiently
