Senior Executive Assistant
The Senior Executive Assistant provides critical support to a C16 level manager and an entire department by managing correspondence, calendars, appointments, conferences, and travel arrangements. This role ensures seamless operations, compliance, and strategic administrative execution.
Key Responsibilities

Direct Executive & Departmental Support
- Act as the primary administrative liaison for a senior manager and broader departmental needs
- Manage all aspects of calendar coordination, appointments, meetings, and conference calls at an executive level

Documentation & Preparation
- Prepare, review, and edit materials/correspondence for meetings and leadership discussions
- Create or modify presentations, spreadsheets, and reports as required
- Develops executive travel schedules and agendas, ensuring logistical efficiency

Financial & Procurement Responsibilities
- Process expense reports through the corporate Travel and Entertainment system
- Coordinate procurement activities, order supplies, and manage invoices via the Procure-to-Pay system

Client & Operational Support
- Handle Virtual Requests (follow-up, requests for external stakeholders)
- Collaborate on special projects or ad-hoc reporting tasks
- Guide and mentor junior/administrative staff as necessary

Regulatory Compliance & Risk Assessment
- Uphold Citigroup’s ethical framework by monitoring compliance with laws, policies, and internal controls
- Escalate risks, ensure transparency, and safeguard firm assets, clients, and reputation
Requirements
Experience & Skills
- Proven track record in office administration, preferably within:
- A large, complex financial services institution (or related high-stakes industry)
- Technical Proficiency:
- Expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Familiarity with enterprise scheduling, T&E, and P2P systems
- Soft Skills:
- Exceptional written/verbal communication (clear, concise, and professional)
- Quick learner with aptitude for adopting new tools/processes
- Attention to detail, self-motivation, and ability to prioritise under pressure
