Executive Personal Assistant – Leadership Team Role

About the Role

Are you an experienced Executive Personal Assistant who thrives in a fast-paced environment and enjoys being at the heart of business operations? We’re seeking a highly organised, proactive, and professional Executive Personal Assistant to join our team in Atlantic Quay, Glasgow. This role—operating in a hybrid format (one day from home on Friday)—provides support to our CEO, COO, and CFO, playing a key role within the Leadership Team.

This exciting opportunity involves working closely with senior leaders to ensure smooth daily operations, while also delivering impactful company events and initiatives.


Key Responsibilities

As the trusted partner to our Leadership Team, you’ll manage priorities, maximise productivity, and maintain effective communication across the organisation. Key duties include:

  • Diary & Calendar Management

    • Handling complex and ever-evolving schedules for senior leaders to optimise their time.
  • Communication & Correspondence

    • Overseeing inboxes, responding to routine emails, and flagging urgent matters.
    • Drafting professional communications on behalf of Leadership Team members.
  • Meeting Coordination

    • Preparing agendas, presentations, reports, and related materials.
    • Taking accurate minutes and tracking follow-up actions.

  • Travel & Logistics

    • Arranging UK and international business travel, including flights, accommodation, and transportation.
  • Document Preparation

    • Supporting the creation of board papers, reports, and leadership documentation.
  • Relationship Management

    • Building strong ties with clients, suppliers, and external stakeholders.
  • Event Planning & Execution

    • Leading and supporting company events, conferences, and brand initiatives.
    • Attending key events to ensure seamless execution.
  • Team Leadership & Development

    • Mentoring and supporting a team of Personal Assistants.
  • Anticipatory & Adaptive Support

    • Proactively addressing the needs of senior leaders in fast-moving environments.

Requirements & Experience

We’re looking for confident and proficient Executive Personal Assistants with:

  • Significant experience supporting senior executives in an equivalent role.
  • Advanced Microsoft Office skills (Outlook, Word, PowerPoint, Excel).
  • Strong diary and inbox management, with experience coordinating meetings and executive travel.
  • Expertise in board paper preparation, presentations, and stakeholder reports.
  • Proven track record in organising corporate events and business functions.
  • Excellent written and verbal communication skills.
  • Outstanding organisation and time management abilities.
  • Proactive, solution-focused mindset with adaptability in high-pressure settings.
