Job Overview
A Senior Facilities Assistant role is available at AHDB’s headquarters in Coventry, working Monday–Friday.
Essential Requirement:
- A full UK driving licence is mandatory, including the ability to act as a key holder and emergency contact.
About the Role
This is a key role within the Facilities team at AHDB, responsible for:
- Coordination of facilities operations across all AHDB sites
- Ensuring services, contracts, and compliance activities run smoothly
- Supporting a safe, compliant, and well-managed environment
- Collaborative work with the Facilities Manager and wider teams
- Managing priorities, internal stakeholders, and external contractors
- Driving continuous improvement in facilities processes
Ideal for someone with:
- Strong organisational skills
- High attention to detail
- Experience in facilities, estates, or construction management
- Confidence in managing priorities, risk assessments, and day-to-day operations

Key Responsibilities
Leadership & Management:
- Line management of a small Facilities team, ensuring high service standards
- Acting in place of the Facilities Manager as required
- Managing a team to maintain quality across pathways

Contract & Compliance Oversight:
- Coordination and review of cleaning, vending, post, and consumables contracts
- Ensuring RAMS (Risk Assessments), insurance, and certifications are approved before work commences
- Overseeing statutory compliance – inspections, servicing, and certifications
- Supporting audits by providing documentation for evidence checks
Maintenance & Health & Safety (H&S):
- Managing planned and reactive maintenance for building systems
- Health and safety oversight – implementing procedures, risk assessments, and practice adherence
- Training and leading fire marshals (planning drills, maintaining records)
Reporting & Stakeholder Engagement:
- Reporting on activities, including updates for board and leadership teams
- Communication and coordination across internal stakeholders and external contractors
Other Key Duties:
- Key holder and emergency contact as required
- Ensuring the safe and effective running of AHDB’s sites
Essential Criteria
✅ Previous work experience in a facilities, estates, or relevant industry ✅ Strong understanding of health and safety legislation and compliance obligations ✅ Vetted experience with contracting, contractor coordination, and compliance checks (e.g., RAMS, permits) ✅ Ability to implement processes, policies, and safety measures ✅ Strong organisational skills, attention to detail, multitasking ability ✅ Poloished communication skills for engaging with diverse stakeholders ✅ Valid full UK driving licence (essential for site visits and emergency duties)
