Job Specification - Senior Finance Manager

The Woodshack Limited (t/a Calshot) is a unique shipyard and bespoke restoration business where collaboration and creativity lies at the heart of every project. Hard work, commitment and creativity are recognized and rewarded, enabling us to build a truly skilled workforce for the future.

Based in Southampton, the Calshot site was originally established in the 1870s as a railway repair depot and spans more than 2.5 acres. It includes not only a working boatyard but also dedicated production spaces for restoration, joinery, fabrication and design. The buildings have been progressively restored using salvaged materials and traditional methods, preserving the character and heritage of the site.

We are currently undertaking significant marine and land-based capital projects both in the UK and abroad and are now seeking a dynamic and committed professional to head up our finance team. The successful candidate will be responsible for managing the finance team and must be able to demonstrate the ability to form effective working relationships across all departments within the Team.

Responsibilities

Responsibilities of the role and the team being managed include (but are not limited to) the following:

Team Oversight and Management

  • Lead and drive forward process and system improvements in the finance department.
  • Work with the Stores & Purchasing department to ensure their systems/strategies integrate with the finance function.
  • Manage the finance team and take ownership of them delivering their objectives.
  • Work with senior management to ensure the right structure, systems and process are in place as the business grows.
  • Manage and/or contribute to other projects and/or finance or business initiatives as required across the group.

Finance

  • Manage and oversee the finance functions of the business.
  • Ensure the finance team delivers a high level of financial support to stakeholders.
  • Posting necessary monthly accounting journals.
  • Production and presentation of monthly reports to our large shipbuilding customer.
  • Maintain project budgets and forecasts.
  • Preparation of weekly cash forecasts.
  • Responsible for the production of monthly management accounts.
  • Responsible for the monthly balance sheet reconciliations.
  • Quoting – working with team managers to issue quotes for new business.

Compliance

  • Manage the annual audit and filing of the annual statutory accounts.
  • Manage filing of annual Corporation Tax returns to HMRC.
  • Manage quarterly VAT return filing and reconciliation.
  • Filing of any other government returns and/or surveys.
  • Manage insurance policies for the company.
  • Liaise with US tax advisor to ensure all US tax obligations are satisfied.

Systems

  • Oversight and maintenance of the data in the company’s accounting and ERP systems – charts of accounts, users permissions, project information etc.
  • Co-ordinate the implementation of new systems if/where necessary.
  • Ensure a robust financial control environment.

Cash & Banking

  • Ensure sufficient liquidity in the organisation at all times and ensure that invoices are raised quickly, debts are chased and manage payments out.
  • Responsible for dual approval of bank transaction.
  • Responsible for banking systems and ensure adequate controls are in place.
  • Responsible for positive relationship with the business’ bank.
  • Responsible for the company payment cards. Setting and maintaining value, category and geographical limits.

Payroll

  • Review and approve administration team’s timesheets.
  • Extract data from time recording system. Work with HR analyse and report information (overtime, sickness etc) to distribute to our payroll bureau.
  • Work with HR to ensure that all staff are paid accurately and on time.
  • Ensure that all payroll and pension filings are completed correctly.

Person specification

  • At least 5 years’ experience in financial management within a corporate/commercial setting.
  • Enduring and flexible character, with ability to adapt quickly in a fast-paced environment.
  • Qualified CIMA, ACA or ACCA.
  • Ability to manage, guide and lead employees to ensure appropriate and efficient processes are being used or implemented.
  • Proficient and experienced in different finance or accounting systems.
  • Solid understanding and working knowledge of general accounting principles.
  • Calm influencer with strong leadership skills and a good sense of humour.
