Job Description: Senior Asset Scheduler

I am currently recruiting for an experienced Senior Asset Scheduler to join a large and complex estates and facilities maintenance function. This is an excellent opportunity for a maintenance planning professional to play a key role in supporting the safe, efficient and compliant operation of a diverse property portfolio.

Working within a busy facilities maintenance environment, you will act as the central point of coordination between engineering teams, contractors and stakeholders, ensuring maintenance activities are effectively planned, scheduled, monitored and accurately recorded within the CAFM system.

Your New Role

Key responsibilities include:

  • Planning, scheduling and coordinating planned preventative maintenance (PPM), reactive maintenance and corrective works across multiple sites and assets.
  • Administering the CAFM system, maintaining accurate asset registers, maintenance schedules, work orders and equipment records.
  • Creating, prioritising, assigning and monitoring work orders from initiation through to completion.
  • Coordinating engineering resources, contractors and specialist suppliers to deliver maintenance activities safely and efficiently.
  • Managing maintenance requests through the service desk and ensuring effective communication with stakeholders.
  • Monitoring maintenance performance against KPIs, including PPM completion rates, response times, backlog management and contractor performance.
  • Producing maintenance reports, compliance dashboards and management information using Excel and Power BI.
  • Maintaining audit-ready records to support regulatory compliance, statutory inspections and audits.
  • Supporting CAFM enhancements, system upgrades, training and process improvements.
  • Assisting with the development of maintenance procedures, SOPs and process documentation.

What You'll Need to Succeed

  • Previous experience in a Contract Support, Facilities Coordinator, Maintenance Planner, CAFM Coordinator or Engineering Administrator role.
  • Experience coordinating maintenance activities within facilities management, engineering, manufacturing or other regulated environments.
  • Strong experience using CAFM systems such as Concerto, Maximo, SAP PM, Hexagon, Concept, MRI Evolution or similar.
  • Proven experience of maintenance planning and scheduling.
  • Experience coordinating contractors and suppliers.
  • Strong administration, planning and organisational skills.
  • Experience managing work orders and service requests.
  • Excellent stakeholder management and communication skills.
  • Strong data analysis and reporting skills using Excel.
  • Extensive Excel and Power BI knowledge.
  • HND/C in Facilities Maintenance or a proven track record of relevant experience.
