Job Description

The Senior Fund Administrator is responsible for the day-to-day administration of a diverse client portfolio, delivering proactive, attentive, and high-quality service under the guidance of a line manager. The role involves managing client structures to ensure smooth and efficient operations, with a strong focus on risk awareness, relationship management, and contractual and statutory responsibilities. The Senior Administrator coordinates administrative tasks and processes, ensuring all activities are identified, prioritised, and completed in a timely and efficient manner, keeping operations organised, productive, and aligned with organisational goals.

Main Responsibilities

  • Administer a varied portfolio of clients, taking ownership of day-to-day activity and ensuring all actions are organised, timely, diligent, and accurate.
  • Maintain a thorough understanding of each client’s activities and ensure administration is conducted in line with constitutional documents and fee agreements, and all relevant laws and regulations.
  • Liaise professionally with clients, investors, advisers, managers, custodians, auditors, and other stakeholders to ensure smooth administration and unified service delivery.
  • Maintain accurate, up-to-date records and data for client entities, ensuring all statutory, regulatory, and tax transparency obligations are met and properly documented.
  • Prepare and review client and investor correspondence, documentation, board packs, minutes, and banking instructions, ensuring they reflect the expected professional standards.
  • Support due diligence and AML/CDD processes, including collection, review, and recording of documentation, and liaising with Risk and Compliance where required.
  • Ensure effective time recording, billing, and debt collection, meeting financial KPIs and chargeable targets, and identifying activity outside agreed fees.
  • Contribute to onboarding of new client relationships and be alert to opportunities to promote additional services, escalating potential opportunities to management.
  • Participate in projects and change initiatives, identifying improvements, standardisation, and efficiencies to enhance service delivery.
  • Provide reliable support to colleagues and management, including cover during absences, and demonstrate flexibility to contribute outside the immediate scope of the role.
  • Ensure full compliance with local regulatory requirements, group and local policies and procedures, and maintain relevant CPD, training, and development.

Skills and Experience

  • A good academic background to include GCSE or equivalent in English and Mathematics at Grade C (level 4) or above with a Recognised Professional Qualification – e.g. Accountancy, Chartered Secretary, STEP, Banking, Securities, Compliance, or other relevant Table 5 qualification (willingness to work towards Table 5) along with relevant experience as defined by the Jersey Financial Services Commission.
  • 2 years’ relevant finance industry experience working within an offshore financial services organisation, with a fair understanding of all areas of client administration and fiduciary services.
  • A good knowledge and understanding of the local finance industry, legislation, and regulatory requirements in the environment in which we operate.
  • A basic understanding of client financial statements.
  • Possess a strong commitment to client service excellence.
  • Ability to manage workloads effectively while navigating varying deadlines.
  • Ability to work accurately under pressure and communicate with clarity and purpose both in written and verbal forms.
  • Strong interpersonal skills are essential.
  • Proficient in the use of a range of Microsoft products (Outlook, Word, Excel, and PowerPoint. Support is provided for relevant professional qualifications including Corporate Governance Institute certificates and diploma.
