Job Overview

Hello - I’m Tom, Specialty Manager for Gastroenterology and I’m delighted you’re considering joining our team.

I am looking for a Senior Secretary to join our warm and welcoming Gastroenterology team, supporting our consultants and leading a small, experienced secretarial team. If you’re someone who enjoys being the calm, capable person others rely on - the one who quietly keeps everything (and everyone) on track – then this is the role for you.

This is a valued, visible role at the heart of the service - ideal for someone who enjoys responsibility, teamwork and making a positive difference for patients and colleagues alike.

Main Duties of the Job

You’ll provide comprehensive medical secretarial support to our consultants, and nursing teams while coordinating, supporting and line managing the gastroenterology secretarial team. From clinic correspondence and diaries to workload planning and problem‑solving, you’ll help ensure the service runs smoothly and efficiently.

You’ll work closely with clinicians, nurses and managers, using your experience and judgement to keep things on track – even when priorities shift.

Detailed Job Description And Main Responsibilities

  • Provide a full medical secretarial service, including audio typing, clinic letters, correspondence and diary management
  • Act as a welcoming and professional first point of contact for patients and colleagues
  • Line manage and support the gastroenterology secretarial team, overseeing day‑to‑day activity and workloads
  • Monitor clinic typing performance and escalate issues early, working with managers to find solutions
  • Maintain accurate systems for records, rotas, annual leave and sickness
  • Support recruitment, induction, training and appraisals within the team
  • Act as a knowledgeable and supportive lead for administrative processes, spotting opportunities to improve how things work

Experience

Essential criteria

  • Excellent keyboard skills with ability to produce accurate correspondence
  • Proficient with Microsoft Office and ability to learn new digital systems
  • GCSE English and Maths (or equivalent)

Desirable criteria

  • Medical secretary qualifications or experience
  • Previous supervisory experience

Experience

Essential criteria

  • Experience working in an administrative or secretarial environment
  • Knowledge of office and administration procedures and ability to organise and prioritise workload

Desirable criteria

  • Previous NHS medical secretarial experience
  • Experience using NHS patient administration systems (e.g. Millennium, CCS)
