Direct Reports: Project Co-ordinators and Senior Project Co-ordinators
About the Role
As an experienced Senior Project Manager specialising in Meetings and Events, you will play a pivotal role in the planning of global projects for our renowned clients.
Using your project management skills, you will ensure all logistical elements and associated budgets are achieved while mentoring Project Co-ordinators. This role, which includes national and international travel, involves client, partner, supplier, team, and financial management across all stages of delivery — pre-event, on-site, and post-event.

Responsibilities
Project Management
- Lead projects from client, internal team, and external partner perspectives
- Oversee small to medium-sized projects across multiple Emota/XD service lines, as the primary client contact to ensure seamless delivery
- Maintain the highest standards of event planning and delivery by leading Project Executives
- Manage the development of event apps and content
- Conduct post-event metric reporting
- Coordinate hotels, venues, and related logistics
- Align client requirements with third-party suppliers, fostering strong relationships
- Manage communications, including weekly status reports for all internal and external stakeholders
- Travel on-site for site inspections, planning meetings, and event delivery
- Oversee events both nationally and internationally
- Ensure adherence to regulatory and client-defined compliance guidelines

Client Liaison and Development
- Conduct meetings and communicate with clients to develop strong relationships
- Identify new business opportunities and leads for business development, sharing insights with the Client Engagement Director
- Assist in presenting event proposals to clients
- Plan, attend, and execute client planning meetings (both face-to-face and virtual)
- Prepare supportive meeting planning materials for client sessions
- Keep clients updated on all meeting planning arrangements
- Lead client debriefs post-event
- Serve as a subject matter expert for client accounts, guiding colleagues
Budget Management
- Lead end-to-end event budget management within company financial tools
- Develop and maintain budgets throughout each event’s lifecycle
- Approve all client invoices before dispatch
- Monitor financial tracking and conduct regular cash flow "health checks"
- Manage scope changes, identifying and charging clients for out-of-scope activities
- Identify cost avoidance and savings measures
- Ensure compliance with client and company invoicing/financial processes
- Log time spent on projects accordingly
Staff Development and Management
- Collaborate with the Project Director to prioritise staff and resources for goals and deadlines
- Assess and support recruitment of Project Managers/Project Executives, providing mentoring input
- Conduct scheduled 1:1s with direct reports to ensure their support and alignment with client deliverables
General Responsibilities
- Act as an ambassador for the agency
- Participate in team meetings and contribute effectively
- Collaborate with other departments to align with client goals and SLAs
- Uphold and promote the company’s mission, vision, and values
- Comply with all company and client policies, including Health & Safety, privacy, and security
- Demonstrate expertise in ABPI and PhRMA guidelines when working with healthcare clients
- Adhere to client and company data privacy/security protocols
- Apply broad knowledge of service range offerings
- Maintain awareness of environmental sustainability across all role aspects

Requirements
Essential
- 5+ years of experience managing and delivering meetings and events in a corporate setting (international experience preferred)
- Proficiency in managing event budgets from creation to reconciliation
- Skills in project management, resource allocation, and team leadership
- Customer-centric approach to event delivery
- Experience leading teams to success
- Proficiency in:
- Event management software
- Project management tools
- Microsoft 365 suite (including Excel for complex spreadsheets)
- Ability to travel nationally and internationally while managing busy event schedules on-site
- Willingness to live within commutable driving distance to either the Ashby-de-la-Zouch or Manchester office, attending minimum 2 days per week
