Full-time | Fixed-term 12-month maternity leave contract | Ashby-de-la-Zouch or Manchester (commutable for 2+ days/week)
About the Role
As an experienced Senior Meetings and Events Project Manager, you will play a pivotal role in planning and delivering dynamic, high-impact global projects for clients across corporate, pharmaceutical, and healthcare sectors.
You will lead projects end-to-end, ensuring seamless execution across all logistical, financial, and resource transition phases—pre-, on-site, and post-event—while mentoring junior team members. With national and international travel required, you’ll engage with clients, partners, suppliers, and internal teams to guarantee exceptional client satisfaction while maintaining Emota’s esteemed service standards.

Key Responsibilities
Project Management
- Lead projects holistically, liaising with clients, internal teams, and external partners.
- Oversee small-to-medium projects spanning Emota and XD service lines, ensuring accountability, transparency, and seamless delivery.
- Uphold Emota’s high standards for event planning through leadership of project executives, particularly in app and content development, post-event metric reporting, and logistical coordination (hotels/venues/third-party suppliers).
- Maintain financial oversight; approve invoices, track budgets, conduct cash flow audits, and manage scope for added revenue.
- Facilitate health and safety compliance, regulatory adherence, and client-specific guidelines (e.g., ABPI and PhRMA for healthcare events).
- Provide on-site management for inspections and events both nationally and internationally, including supplier planning meetings.

Client Liaison & Development
- Build strong client relationships through proactive communication (meetings, proposals, virtual planning).
- Identify business opportunities and collaborate with our Client Engagement Director to foster growth.
- Act as a go-to subject matter expert for client accounts.
- Conduct thorough pre- and post-event debriefs and ensure clients are updated on all aspects.
Budget Management
- Lead end-to-end financial planning, including budgeting, maintaining forecasting, and ensuring timely invoicing.
- Implement cost-saving strategies, financial reconciliations, and revenue capture for non-billable scope.
- Comply with financial protocols, ranging from client invoicing to project time-tracking.
Staff Development & Collaboration
- Support the Project Director in project manager and executive recruitment, mentoring, and resource allocation.
- Conduct structured one-to-one meetings with direct reports to ensure accountability and support.
- Work collaboratively across departments and push for service level agreement achievements.

Requirements
Must have: ❏ 5+ years’ experience in corporate meetings and events management (international a plus). ❏ Expertise in client-facing event planning, including budgeting and revision processes. ❏ Proven team leadership skills with strong mentoring abilities. ❏ Proficiency in: – Event management software and project management tools. – Microsoft 365 suite, particularly Excel for complex spreadsheets. ❏ Desire to travel nationally and internationally, with flexibility for stringent schedules. ❏ Strong customer-centric approach with a results-driven ethos.
Preferred but not mandatory: ❏ Healthcare or pharmaceutical science engagement experience. ❏ PhRMA/ABPI protocol familiarity.
Location Gaming Rule: Must reside in commute proximity of Emota’s Ashby-de-la-Zouch or Manchester offices (minimum 2 days attendance upon-site), with teleworking opportunities the remainder.
