About the Role
As an experienced Senior Project Manager specialising in Meetings and Events, you will play a pivotal role in planning global projects for our distinguished clients.
You’ll leverage your project management expertise to ensure logistical excellence and financial responsibility across projects—mentoring team members to maintain consistency. This travel-intensive role spans client, supplier, partner, and financial management, covering pre-event planning, on-site execution, and post-event follow-up, both nationally and internationally.
What You’ll Do
Project Management
- Lead project delivery from client, internal, and external perspectives
- Oversee small-to-medium projects engaging multiple Emota/XD service lines as the primary client contact
- Uphold the highest standards of event planning and delivery through leadership of Project Executives
- Manage app development and event content
- Produce post-event metric reporting
- Coordinate hotels, venues, and on-site logistics
- Align client requirements with third-party suppliers, fostering strong relationships
- Oversee client communications (e.g., weekly status reports)
- Conduct site inspections and coordinate planning/delivery meetings
- Attend on-site at events (nationally and internationally)
- Ensure compliance with regional regulations and client-specific guidelines

Client Liaison & Development
- Build and maintain client relationships through face-to-face and virtual meetings
- Identify business opportunities and share leads with the Client Engagement Director
- Present event proposals to clients
- Plan, execute, and document client planning meetings
- Prepare supporting meeting materials for client engagement
- Provide client briefs throughout project execution
- Lead post-event debriefs and act as a subject matter expert for account support
Budget Management
- Manage the end-to-end event budget using internal financial tools
- Develop and track project budgets throughout the event lifecycle
- Approve all client invoices before release
- Monitor cash flow health through ongoing financial checks
- Clarify scope changes and manage invoicing for out-of-scope work
- Optimise cost-saving measures
- Ensure compliance with company and client billing policies
- Log employee time spent on projects
Staff Development & Management
- Help the Project Director prioritise resources to meet client deadlines
- Support recruitment, onboarding, and mentoring of Project Managers and Executives
- Conduct one-on-ones with direct reports to foster collaboration and ensure deliverables
General Responsibilities
- Serve as an ambassador for the agency
- Participate in team meetings and cross-department collaboration
- Align projects with client SLAs and meet employer service objectives
- Champion the mission, vision, and values company-wide
- Comply with health & safety, privacy, and security protocols
- Apply expertise in ABPI and PhRMA guidelines for healthcare clients
- Embrace sustainability practices
- Utilise knowledge of Emota’s service offerings

What You Need to Bring

5+ years’ experience in managing events in a corporate setting (preferably international)

Expertise in event budgeting from initial drafts to reconciliation

Proven project management skills and ability to resource teams effectively
-
A customer-centric approach to event delivery

Experience leading teams to success

Proficiency in:
- Event/corporate event software
- Project management tools
- Microsoft 365 suite, including advanced Excel (complex spreadsheets)

Willingness to travel (nationally and internationally) with a flexible high-energy schedule

Experience with Pharmaceutical/Healthcare clients is advantageous

Reside within commuter range of Ashby-de-la-Zouch or Manchester for at least 2 working days per week
