Reporting to: Project Director Direct reports: Project Coordinators and Senior Project Coordinators
About the Role…
As an experienced Senior Project Manager specialising in Meetings and Events, you'll contribute significantly to planning global projects for renowned clients.
Your responsibilities will include:
- Delivering logistical elements and associating budgets, while mentoring Project Coordinators to uphold the same standards.
- Managing client, partner, supplier, team, and financial relationships through all event stages, including:
- Pre-event, on-site, and post-event.
- National and international travel.

Responsibilities
Project Management
- Lead projects from client, internal, and external partner perspectives, ensuring seamless delivery
- Oversee small to medium-sized projects (potentially spanning Emota & XD service lines)
- Maintain the highest standards of event planning & delivery through leadership of Project Executives
- Manage apps/content development, post-event metrics, hotels/venues, and logistical arrangements
- Synchronise client requirements with 3rd-party suppliers, fostering long-term relationships
- Handle weekly status reports for internal & external stakeholders, plus client communications
- Conduct site inspections & planning meetings with suppliers and attend national/international events
- Ensure regulatory and compliance-driven event delivery

Client Liaison & Development
- Foster client relationships through meetings, leads, and proposals
- Present event proposals, script client meetings (both in person and virtually)
- Prepare supportive meeting materials
- Lead client onboarding and post-event debriefs
- Act as account subject-matter expert to guide colleagues
Budget Management
- Lead end-to-end event budgeting using company financial tools
- Monitor budgets from creation to reconciliation and ensure positive cash flow
- Approve client invoices before dispatch
- Implement cost management, scope, and invoice compliance
- Log project time accurately
Staff Development & Management
- Collaborate with the Project Director on resource allocation, recruitment, and mentorship
- Conduct 1:1 meetings with direct reports to ensure client deliverables and staff support

General
- Represent Emota positively in meetings/team engagements
- Collaborate cross-departmentally to align with client SLAs and company values
- Uphold compliance standards, including ABPI/PhRMA health regulations
- Maintain environmental sustainability awareness in all processes
Requirements
Experience & Qualifications:
- 5+ years in corporate meetings/events management (preferably international)
- Hands-on experience in budget management and reconciliation
- Strong project leadership and customer-centric approach
- Proficiency in:
- Event management software
- Project management tools
- Microsoft 365 Suite (particularly Excel & complex spreadsheets)
- International travel flexibility and ability to manage busy schedules
- Pharmaceutical/Healthcare experience favorable
- Commute to Ashby-de-la-Zouch or Manchester 2+ days/week
