How You’ll Fit into the Big Picture ✨

Microsoft Operations is key to the success of our Microsoft business unit. As Senior Microsoft Operations Specialist, you will:

  • Play an important role in ensuring Microsoft agreements, renewals, orders, and contract submissions are completed accurately, professionally, and on time.
  • Act as a subject matter expert for Microsoft operational processes, supporting the team with complex queries, escalations, training, and continuous improvement.
  • Work closely with licensing, solutions, sales, and finance colleagues to support our customers and execute multi-million-pound Microsoft licensing agreements effectively.

What You’ll Be Doing 🎯

  • Act as a senior point of contact for Microsoft Operations, providing:
    • Guidance, escalation support, and operational expertise to colleagues and the wider business.
  • Process and oversee Microsoft orders, renewals, and agreement submissions:
    • Ensure adherence to Microsoft requirements, compliance rules, and key milestones.
  • Interface with Microsoft procurement, licensing, and administration systems to resolve:
    • Customer, vendor, and internal queries.
  • Support the team for complex operational queries, collaborating with licensing and solutions specialists as needed.
  • Monitor:
    • Workload, agreement milestones, and SLAs to ensure timely, accurate task completion.
  • Maintain accurate internal agreement records, documenting:
    • Customer, contract, and renewal information.
  • Carry out quality checks on Microsoft agreement/order submissions to:
    • Reduce errors, manage risk, and ensure compliant delivery.
  • Liaise with Finance for:
    • Timely invoice reconciliation and resolution of supplier billing queries.
  • Deliver:
    • Training, coaching, and process guidance to new/existing specialists and sales teams.
  • Update and maintain operational guides to ensure documentation reflects changes in:
    • Microsoft programmes and processes.
  • Identify opportunities to improve:
    • Microsoft operational processes, controls, and ways of working across teams.
  • Support the Microsoft Compliance Manager with:
    • Reporting, presentations, and operational insights.
  • Provide overall team support as needed.

What Experience We Think You’ll Need 🚀

Essential

  • Previous experience in a Microsoft Operations or licensing role.
  • Strong understanding of:
    • Microsoft licensing programmes.
    • Agreement processes.
    • Operational compliance requirements.
  • Confident using Microsoft procurement, ordering, or administration systems.
  • Exceptional attention to detail, able to:
    • Manage complex information accurately.
  • Strong organisational skills with the ability to:
    • Juggle competing priorities in a deadline-driven environment.
  • Clear communication skills, including:
    • Supporting colleagues and engaging with internal stakeholders.
  • Logical, problem-solving mindset that can:
    • Identify risks, errors, and process gaps.
    • Deliver high standards individually or as part of a team.
    • Operate in high-integrity environments.

  • Experience supporting:
    • Process improvement or documentation updates.
  • Experience preparing:
    • Reports, MI (management information), or operational updates.
  • Strong Excel skills or experience working with:
    • Operational data.
