Senior Operations Administrator / Team Leader

Senior Operations Administrator | Liverpool, Merseyside

Position: 100% office-based Senior Operations Administrator (Team Leader)

Salary: Up to £35,000 per annum (dependent on experience) + comprehensive benefits

Contract: Full-time, permanent

An exciting opportunity has arisen for an experienced and highly organised Senior Operations Administrator / Team Leader to join a dynamic and growing operations team. This pivotal role involves overseeing key administrative functions, coordinating operational processes, and supporting overall business performance in a fast-paced environment.

You will take ownership of office administration, lead a small team, manage CRM systems, and ensure efficient workflows, accurate reporting, and compliance. This position is ideal for a proactive professional looking to drive continuous improvement and enhance operational efficiency across the organisation.

Key Responsibilities

  • Team Leadership
    • Lead, support, and develop the administration team to ensure high performance and engagement.
  • Operational Coordination
    • Work closely with warehouse teams to maintain smooth day-to-day operations and effective communication.
  • CRM Management
    • Maintain accurate and up-to-date records within the CRM system.
  • Quotations
    • Prepare and issue customer quotations in a timely and accurate manner.
  • Order Processing
    • Manage purchase orders and ensure all associated documentation is processed efficiently.
  • Warranty Management
    • Coordinate warranty requests with suppliers and internal stakeholders.
  • Reporting
    • Produce operational reports, KPIs, and management information as required.
  • Compliance & Risk
    • Oversee supplier pre-qualification questionnaires (PQQs) and maintain required documentation.
    • Assist with internal audits and ISO record-keeping.
  • Training Administration
    • Maintain and update the company training matrix.
  • Health & Safety Compliance
    • Support health and safety reporting and record-keeping.
  • Process Improvement
    • Identify and implement improvements to administrative and operational processes.

About You

You must demonstrate:

✅ Proven experience in a senior administrative, team leadership, or office management role ✅ Strong organisational and multitasking skills ✅ Experience in CRM systems and data management ✅ Proficient in Microsoft Office 365 (Excel, Word, Outlook) ✅ Excellent communication and stakeholder engagement skills ✅ High attention to detail and accuracy in documentation ✅ Ability to manage competing priorities in a fast-paced environment ✅ Experience with compliance, auditing, or health & safety processes (a bonus) ✅ Proactive, solutions-focused, and team-oriented approach
