Overview

As a Senior Project Manager, your role will be to ensure the successful planning, execution, and completion of a variety of projects for the Design and Innovation Centre. You will be responsible for overseeing all aspects of the project to achieve its goals within the defined scope, budget, and timeline. Additionally, you will be accountable for building, developing, and maintaining important stakeholder relationships within the business.

Senior Project Manager

Working out of the Design & Innovation Centre in London as a Senior Project Manager, you will be responsible for supporting the WE Foods design team on a variety of design initiatives across packaging redesign, brand guidelines, and shopper toolkits. You will be the key contact point for project management across the Europe/UK Foods Team, as well as being hands-on in some key programs.

A thorough knowledge of the design and production process is needed to succeed in this role. As well as attention to detail across finances and being able to prioritize workflows and resources.

You will be the key point of contact between our marketing partners and the company’s internal design, artwork, and production teams. You will ensure projects are delivered smoothly and be accountable for building, developing, and maintaining important client relationships. You will be commercially astute and able to hit deadlines while managing your own workload.

Responsibilities

Day to Day Responsibilities:

Programme Management

  • Day to day project management and support for specific programs of work for the WE Foods design team.
  • Create Scope of Works for all programs and align with internal and external partners ahead of project commencement.
  • Plan and manage project timelines, track budgets, and cross charges (if applicable), schedule reviews/feedback, and milestone meetings.
  • Plan resourcing and manage the resource tracker for projects, freelancers, and artwork/production.
  • Generate monthly contractor forecast based on agreed project priorities. Track and report weekly.
  • Ensure contractors are at full capacity. Ensure tracker is up to date and anticipate any capacity issues.
  • Flag overspend or additional budget requirements to Design Leads and marketing partners promptly.
  • Keep full track of all your live projects and be able to give a full account of the status of each project at any given time.
  • Be flexible and able to coordinate multiple projects in a fast-paced environment. Be self-motivated, efficient, and highly organized.

Budget & Finance. AOP/ Priority Management

  • Partner with Design Leads to identify project priorities.
  • Support Design Leads to scope work and plan in appropriate resources.
  • Attending monthly budget reconciliation meetings.
  • Manage project budgets, cross charges, and reconciliations.
  • Plan accordingly with Design Lead on AOP and program priorities.
  • Update Mondays.com AOP figures/ratecard for reporting.
  • Track Yuno Juno Invoices and spend and report monthly.

People Management

  • Supporting Design Leads to build relationships with Global & European commercial and marketing teams.
  • Be known as the key contact across the business and be a consistent point of contact for your projects/brands.
  • Responsible for regular communication between internal and cross-functional teams.
  • Drive Project Management ways of working, tools, and capabilities.
  • Support Production by creating clear production briefs, including SKU’s lists, master artwork templates, and release timings.
  • Grow expertise within the PM team by supporting and guiding other Foods team Project managers.
  • Support Foods Design Leads by continuing to champion our design process and ways of working.

Project Management Tools

  • Manage, maintain, and deliver projects on Mondays.com, complete budget figures for quarterly reporting, and coordinate design share-outs when required.
  • Set up/train freelancers on Mondays.com for timekeeping.
  • Create and oversee all freelancer bookings on YunoJuno, including IR35 assessments, manage, and approve YunoJuno timesheets for freelancers.

Qualifications

To be an effective project manager in the Design and Innovation Centre, you need to be a specialist in the following areas:

  • In-depth understanding of the design process, and experience managing brand design projects for FMCG clients (minimum 4 years of working experience).
  • Strong technical knowledge of the print production process for packaging and point of sale.
  • Ability to manage multiple large-scale projects; managing priorities, showing agile and flexible thinking in response to complex project demands.
  • Natural, empathetic, and timely communicator, managing the flow of information both upward and downward internally and to outside agencies.
  • Anticipating potential challenges to projects and proposing solutions in advance of an issue becoming a crisis.
  • A strong desire to control every aspect of project planning; from design objectives and outcomes, timeplans and milestones, to financial forecasting and budget control.
  • Meticulous attention to detail when writing briefs, meeting reports, project updates, and presentations.

  • Flexibility; able to manage complexity and ambiguity.
  • Multi-tasker and adept in working in a fast-paced environment.
  • In-depth knowledge of the design process supported by excellent technical knowledge.
