An exciting opportunity has arisen for a Band 4 Senior Secretary to support the Harm Reduction / Enhancing Lives teams as part of Substance Misuse Services. This role will support the daily administration coordination of the teams, support for the Service and Team manager, and will also support the training coordination of the wider service.

We are looking for an enthusiastic, self-motivated and experienced individual with a strong administrative background. It is essential that applicants possess a high level of typing skills, have experience in using Microsoft packages, and are able to work efficiently in a fast-paced environment.

The successful candidate will be able to work on their own initiative and be able to work as part of a team.

The post-holder will need to possess excellent time management skills, be well-organized and have the ability to prioritize workload demands to meet strict deadlines, whilst producing work to the highest standards.

Main Duties of the Job

The post-holder must have the ability to work both independently and as part of a team, using discretion, judgement and initiative. Excellent written and verbal communication skills are essential, together with a keen eye for detail, with the ability to process and generate urgent and routine correspondence.

The successful candidate must be able to maintain patient confidentiality, and ensure a high standard of customer care at all times. It is essential that the successful candidate has a flexible approach to work, to meet the demands of the service.

Qualifications and Knowledge

Essential criteria

  • NVQ Business Administration Level 4, or Diploma in Office Administration, or relevant experience at diploma level.
  • RSA / OCR Level 3 or equivalent experience
  • ECDL qualification or equivalent experience
  • Evidence of Continuous Personal Development
  • Knowledge of a range of administrative & clerical processes
  • In-depth and detailed knowledge and understanding of secretarial procedures, the structure, policies, plans, regulations, management and operational procedures of the Organisation
  • Advanced knowledge of word processing, spreadsheet and presentation packages

  • Experience at a high level of providing a comprehensive administrative / PA service
  • Experience of setting up and using filing / IT systems
  • Significant experience of office procedures, and meeting deadlines
