Senior Stores and QC Co-Ordinator

Senior Stores & QC Co-Ordinator – Full-Time, Permanent Role

We are looking to hire a Senior Stores & QC Co-Ordinator on a full-time, permanent basis. Based at our facility in Westhill, Aberdeen, the role involves:

About the Role

Providing day-to-day leadership within the Stores function, building team capability, and driving continuous improvement to ensure service quality and adherence to agreed KPIs.

The role is also responsible for performing and coordinating goods-in quality control (QC) inspections, ensuring that all materials and equipment meet specifications, documentation, and quality standards before acceptance, storage, or use.

The jobholder will represent Stores in audits and cross-functional reviews, accountability for timetable closeout of:

  • Audit actions
  • Variance findings
  • Inspection issues
  • Operational concerns

Ensuring the Stores function remains efficient, effective, compliant, and safe at all times.


Duties & Main Responsibilities

  • Lead daily operations of the Stores function, ensuring:
    • Safe, compliant, and efficient receipt, inspection, storage, picking, issuing, and despatch of inventory
    • Organised store layout for easy access and safety
    • Good housekeeping in offices, yards, and warehouses
  • Maintain master data accuracy and timely processing of stock movements
  • Dangerous Goods Packing & Compliance: Ensure compliance with regulations
  • Documentation & Traceability:
    • Recording, auditing, and storing all transactions
    • Ensuring data integrity and correcting systemic issues
  • Stock Control Management:
    • Monitor and adjust stock levels to prevent shortages or overstocking
    • Coordinate reordering and cycle counting for discrepancies
  • Goods-in QC Inspections:
    • Perform QC inspections against Purchase Orders, engineering specs, certifications
    • Verify material certificates (e.g., EN10204), test reports, marking/tagging compliance
    • Quarantine and halt progress for non-conforming items until resolved
    • Control material release—no issue without QC approval
  • Non-Conformance Resolution:
    • Raise and support Non-Conformance Reports (NCRs) and supplier issues
    • Handle subcontractor QC execution
  • Consumable Management:
    • Coordinate stock of workshop/classroom consumables
  • Safety & Compliance:
    • Ensure compliance with COSHH storage and hazardous material handling
    • Lead risk assessments, toolbox talks, and foster a strong safety culture
  • Process Improvement:
    • Suggest and implement continuous improvement initiatives
  • Shipping & Logistics Support:
    • Assist in loading/unloading deliveries safely using equipment (forklifts, cranes)
    • Identify and flag slow-moving stock for review
    • Pack, weight, label, and address shipments for despatched goods
  • Cross-Functional Collaboration:
    • Engage with all departments and follow company policies

Requirements

  • Minimum 5+ years’ experience in a Senior Stores Coordinators & QC role (or equivalent)
  • Stock control systems (manual or software-based) experience
  • Goods-in QC inspection background
  • Dangerous Goods (DG) packing/release awareness and training
  • Ability to design/evolve stores management systems
  • Sound understanding of stock control procedures
  • Prioritisation and adaptability in fast-paced environments
  • Advanced organisational skills and attention to detail
  • Communication skills that are clear, concise, and lead by example
  • Methodical way of working with problem-solving aptitude
  • High integrity, professionalism, and a “completer-finisher” mindset
  • Self-motivated, proactive, and results-driven
  • Collaborative and empowering attitude toward team feedback
  • Personal accountability for duties
  • Serious approach to housekeeping (came cleanliness as a priority on list)

Note: Collaborates flexibly with other departments as per Supply Chain Manager’s directives.
