We manage a nationwide portfolio of over 200 properties totalling around 7.5 million sq.ft. and comprising all commercial asset classes. In February 2022, Helix was acquired by Hines marking an exciting new chapter to further propel our property management offering and customer centric approach in the UK. Helix has had a long-standing relationship with Hines over the past 10 years, providing property management services across the majority of properties in the Hines UK portfolio.

Responsibilities

The role will be based in our head office in Covent Garden and is that of a Senior Surveyor.

The role will consist of the management of predominately Central London multi-let offices and the successful candidate should have prior experience of managing similar assets and the skills to take full ownership of all aspects of day-to-day property management, delivery of property management services and client care. The role will report into an Associate Director. The team is led by a Director who will maintain oversight and support, as required. Graduates and a Property Administrator support the wider team.

The individual will be expected to:

  • Carry out various property management tasks as directed.
  • Ensure that all properties within the portfolio are managed effectively and efficiently and to ensure that value is maximised, voids kept to a minimum and Client’s objectives achieved.
  • Prepare ad hoc reports including formal client reporting as required for issue to internal and external parties.
  • Ensure that company policies and procedures are consistently applied to required standards. Also, to be conscious of these policies and procedures to protect the interests of Helix and Hines.
  • Work alongside the facilities management team to oversee day-to-day maintenance matters including day-to-day, contracted, and cyclical maintenance.
  • Assist with the project management of internal and external works alongside the relevant surveyor or professional consultant.
  • Manage data and e-mails and ensure all client files are kept up to date.
  • Take responsibility for the collection of rents and service charges.
  • Ensure that service charge budgets and reconciliations are correct and produced in a timely manner.
  • Make certain that service charge expenditures versus the budgets throughout the financial year are appropriately managed.
  • Implement a programme of regular site visits to ensure all buildings are in good order and complete inspection reports remotely.
  • Be proactive in your communication with colleagues and in building relationships with all stakeholders.
  • Contribute to wider Helix and Hines projects.
  • Ensure insurance claims are processed efficiently and correctly.
  • Develop processes to effectively circulate information and communicate regularly with tenants concerning management issues.
  • Have a thorough understanding of Landlord and Tenant Act and related lease restrictions.
  • Ensure that fees are issued as and when appropriate for works excluded from the management contract.
  • Share your expertise with colleagues.
  • Ability to complete own work under minimal supervision / guidance depending on level of experience.
  • Ability to deal with new or difficult situations within context of own function or specialism.
  • Make decisions regarding the management of the portfolio for which you are responsible.
  • Actively manage colleagues to get the best out of all situations.
  • Actively support and encourage personal and professional development of colleagues especially those in direct management.

Qualifications

Minimum Requirements include:

  • MRICS qualification or 6+ years of commercial property management experience.
  • Experience of administration within the context of an office such as utilisation of Microsoft Office and Outlook.
  • Experience of liaising with multilevel stakeholders including Clients, professional teams, lenders, investors etc.
  • Ability to demonstrate and apply Level 3 RICS competencies.
  • Thorough understanding of commercial leases / service charges.
  • Experience of liaising with clients, occupiers, consultants and local authorities.
  • Similar experience with a competitor company.
  • Thorough knowledge of current Health & Safety legislation.
  • Thorough knowledge of buildings, maintenance, and service.
  • A full clean driver’s licence.
  • Strong communication skills, both verbal and written.
  • Good numerical skills including computer literacy (Excel, Word, MS Outlook).
  • Ability to work alone or as part of a team.
  • High level of organisational and administrative skills.
  • Able to use initiative and take responsibility.
  • Ability to work under pressure.
  • Able to fit in with a diverse work team.
