The Role - Senior Wholesale Administrator

12 month FTC

We are seeking an experienced and highly organised Senior Wholesale Administrator to join our growing contemporary fashion brand. Acting as the operational backbone of the Wholesale team, you'll play a key role in ensuring the seamless management of wholesale accounts from order placement through to delivery, while delivering an exceptional customer experience for our retail partners.

Working cross-functionally with Sales, Merchandising, Production, Logistics, Finance and Customer Operations, you'll ensure orders are managed efficiently, timelines are met and our wholesale partners receive the high level of service expected from our brand.

Key Responsibilities

Wholesale Operations

  • Manage the end-to-end wholesale order process from order entry through to delivery.
  • Process seasonal, repeat and replenishment orders accurately within the ERP system.
  • Monitor the order book, ensuring delivery dates, allocations and customer requirements are maintained.
  • Manage order amendments, cancellations and customer requests efficiently.
  • Maintain accurate customer records, pricing and product information.

Account Support

  • Act as a key day-to-day contact for UK and international wholesale accounts.
  • Deliver exceptional customer service by responding promptly to enquiries relating to orders, deliveries, stock availability and product information.
  • Build strong relationships with retailers and wholesale partners to ensure a best-in-class customer experience.
  • Support the Wholesale team throughout each selling season, ensuring accounts receive timely updates and communication.

Sales & Showroom Support

  • Provide administrative support to the Wholesale Director and Sales team.
  • Prepare line sheets, price lists, order forms and seasonal sales tools.
  • Coordinate showroom appointments, sample requests and sample tracking.
  • Assist with market appointments, trade shows and seasonal selling campaigns.

Production, Logistics & Supply Chain

  • Work closely with Production and Logistics teams to track deliveries and communicate changes to customers.
  • Monitor shipment schedules and proactively manage any delays or issues.
  • Liaise with warehouses and freight partners to ensure orders are dispatched accurately and on time.
  • Support export documentation where required.

Reporting & Commercial Support

  • Produce weekly sales reports, order book analysis and delivery updates.
  • Monitor seasonal order intake and assist with sales forecasting.
  • Support the Wholesale team with customer analysis and commercial reporting.
  • Ensure data accuracy across ERP and reporting systems.

Cross-Functional Collaboration

  • Partner with Merchandising to manage availability, allocations and product launches.
  • Work closely with Finance to resolve invoicing, payment and credit queries.
  • Support Customer Operations to ensure a seamless end-to-end wholesale experience.
  • Contribute to improving processes and identifying efficiencies across the wholesale function.

About You

  • 3+ years' experience in Wholesale Administration, Sales Operations or Customer Operations within a contemporary, premium or luxury fashion brand.
  • Strong understanding of the wholesale order lifecycle.
  • Exceptional organisational skills with excellent attention to detail.
  • Highly proactive with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication skills and confidence building relationships with internal teams and external customers.
  • Commercially minded with a solutions-focused approach.
  • Advanced Microsoft Excel skills.
  • Experience using ERP systems such as Microsoft Dynamics, SAP, NetSuite, ApparelMagic or similar.

Desirable Experience

  • Experience working with UK and international wholesale partners.
  • Knowledge of wholesale shipping, logistics and export processes.
  • Experience supporting seasonal showroom appointments and trade shows.
  • Additional language skills would be advantageous but are not essential.
