Job Description

Scot JCB Group are looking for a proactive and customer-focused Administrator to support the growth of our Machine Health Check (MHC) and Thorough Examination (CTE/LOLER) function.

A Machine Health Check is a visual inspection carried out by our engineers to identify maintenance or repair requirements on customer machines.

A Thorough Examination is a statutory inspection designed to ensure machinery remains safe and compliant.

In this role you will review inspection information, liaise with internal departments, generate quotations, communicate with customers, and support the completion of remedial work identified during inspections.

We welcome applications from candidates with a variety of backgrounds and skill sets. Experience working within the construction, agricultural, parts, service, or sales sectors would be advantageous.

Hours: Monday to Friday, 8:30am – 5:00pm at our Dennistoun depot. Please note our depot will be relocating to Govan in the next 18 months.

Scot JCB has been supplying and servicing JCB machinery throughout Scotland and the North of England for over 60 years. We sold our first machine in 1956 and have grown into a highly specialised machinery distribution company operating through a network of 14 depots from Huntly in the North East of Scotland to Carnforth in Lancashire. Scot JCB is the largest JCB distributor in the UK and we pride ourselves on providing our customers with world class service.

Key Duties And Responsibilities

  • Coordinate Machine Health Checks (MHCs) and Thorough Examinations (CTEs)
  • Review engineer reports and conduct accuracy checks
  • Identify incomplete submissions or data anomalies and escalate where required
  • Liaise with Service Supervisors to arrange corrective repairs for identified defects
  • Work closely with Parts and Service teams to prepare quotations
  • Contact customers to discuss inspection findings and recommended repairs
  • Issue completed reports and certificates to customers
  • Process invoicing for Thorough Examination inspections
  • Monitor and record remedial work success rates
  • Track and analyse trends in defects identified through inspections
  • Produce monthly management reports detailing:
    • Remedial work conversion rates
    • Revenue generated from MHC activities
    • Defect trends and inspection outcomes
  • Support the Contracts Administrator with the management of service contracts
  • Assist with telematics contract renewals
  • Provide general administrative support to the aftersales function as required

The Ideal Candidate Will Have

  • Experience within an administration, parts, service, sales, or customer support role
  • Experience within the construction, agricultural, plant, or machinery sectors (advantageous)
  • Excellent verbal and written communication skills
  • Confidence communicating with customers by telephone and email
  • Strong relationship-building skills
  • Excellent organisational and time-management abilities
  • The ability to prioritise workloads and meet deadlines
  • A proactive approach and ability to work independently
  • Good Microsoft Office skills, particularly Excel
  • Strong attention to detail and accuracy
  • A flexible, positive, and professional attitude
