Job Summary

The Central Service Administrator is critical in supporting service operations by managing key administrative functions, including service contracts, compliance, warranty claims, and customer reporting. This role ensures:

  • Operational efficiency in service deliveries
  • Contract compliance thorough accurate documentation
  • Performance tracking through proactive management of portals, reports, and KPIs

You’ll also provide direct support to depot service teams, facilitating seamless coordination to optimise service delivery.


What You Will Do

Depot Service Support

  • Answer and professionally manage all incoming service calls
  • Log service requests and accurately document customer issues
  • Schedule and deploy engineers based on skillsets and availability
  • Optimise engineer routes and schedules for maximised efficiency and minimised downtime

Processing Support for Depot Operations

  • Provide administrative backing to the installation team as required

Contract Support & Planning

  • Manage the setup, renewal, and ongoing administration of service contracts, including service bookings
  • Liaise with internal teams and customers to ensure accurate and compliant contract documentation
  • Maintain an up-to-date contract activities and scheduling database
  • Monitor contract performance and support both operational planning and service centre liaisons to hit targets

TKTK Contract Support & Planning

  • Administer custom contracts (e.g. TKTK – Tailored Key/Account Knowledge Teams)
  • Work closely with service teams and account managers to ensure contractual obligations are met
  • Prepare bespoke planning documentation and reports for these key accounts
  • Track milestone progress against contract KPIs

Warranty Claims & Manufacturer Reworks Administration

  • Process warranty claims efficiently with suppliers and manufacturers
  • Maintain a warranty register and follow up on unresolved cases
  • Support technicians to gather necessary documentation
  • Coordinate with parts controllers for warranty parts returns
  • Monitor trends and escalate recurring warranty issues when needed
  • Drive and review manufacturer rework campaigns

Compliance Support (Including F-Gas & Tail Lift Regulations)

  • Maintain current records related to compliance including:
    • Fleet Management compliance
    • F-Gas Regulatory inspections
    • Tail Lift inspection certifications
  • Ensure all activities align with legal and company compliance standards
  • Schedule and track mandatory inspections and testing
  • Support depot crews in maintaining audit-ready documentation for external inspections

Customer Reporting & KPI Monitoring

  • Generate regular customer reports, including performance metrics and KPIs
  • Ensure data integrity and timely report delivery
  • Provide performance insights and analyses on service, contracts, and trends
  • Work with operational teams to resolve report-driven areas of concern
  • Serve as central liaison for key accounts

What You Will Bring

  • Proven experience in service administration or similar support roles
  • Strong organisational and planning abilities
  • Exceptional attention to detail with unwavering accuracy
  • Exceptional multi-tasking to manage competing deadlines
  • Outstanding communication skills (both verbal and written)
  • Proficient in Microsoft Office Suite, especially Focus:
    • Excel for data management
    • Reporting and dashboard tools
    • IFS systems
  • Helpful familiarity with compliance regulations like F-Gas and LOLER (Tail Lifts)
  • Previous experience with warranty systems or customer service portals, preferred

Education & Training

  • Minimum GCSEs (or equivalent qualification)
  • Bonus points for higher/vocational education or business administration credentials
  • Advance your profile with training in:
    • Compliance management
    • Contract administration

Flexibility:

  • Willingness and adaptability to handle peak reporting periods or compliance audits
